ROLE OVERVIEW
The Trade Support Assistant provides essential administrative, operational, and service support to the Sales Team and trade partners. This role ensures the smooth running of daily sales operations by managing partner enquiries, maintaining accurate records, coordinating processes, and supporting the trade sales team. As a junior role within the Inside Sales structure, the Trade Sales Assistant contributes directly to partner satisfaction and sales effectiveness by ensuring information, systems, and processes operate efficiently. This is an excellent opportunity for someone beginning their career in sales, commercial, or trade support within the travel industry.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Manage the shared sales support mailbox, responding to partner queries or escalating where appropriate and handle incoming departmental phone calls.
- Provide first‑line support on product information, promotions, policies, and system navigation.
- Assist trade partners with everyday enquiries relating to portal access, registration issues, and account information.
- Deliver professional and timely responses to ensure strong partner experience.
- Support the agent onboarding process, including account creation, profile activation, and welcome communications.
- Support the issuing of required contracting and compliance documentation such as Self‑billing agreements, ATOL Agency Agreements, Commercial contracts. Ensure all completed documents are saved and filed accurately.
- Ensure CRM records are properly maintained with correct agency data, contacts, and communication notes.
- Support Strategic Account Managers, Business Development Managers, and Inside Sales Executives with administrative follow‑up actions.
- Assist with pulling basic reports, checking partner profiles, and updating internal documents as requested.
- Prepare meeting materials and provide on‑site support for trade meetings and events held in office location.
- Support fulfilment of adhoc trade incentives and competitions.
- Manage the administration of our trade reward programme Silversea Agent Rewards including validating booking eligibility, updating claim reports, responding to general account queries and sharing analytics.
- Manage the administration of our trade loyalty program Silver Advocates including sourcing and dispatching of prizes.
- Assist with loading or updating incentive information on trade platforms when required.
- Ensure CRM records are properly maintained with correct agency data, contacts, and communication notes.
- Assist with simple data analysis tasks or extraction of reports for the sales team.
- Provide administrative support for trade events including invitation creation, RSVP tracking, database extraction.
- Assist with logistical coordination (materials preparation, registration lists, couriering collateral). In person attendance may be required to ensure smooth running.
- Support webinar and virtual training setup, including scheduling and attendee management.
- Assist in fulfilling partner collateral and brochure requests, coordinating with warehouses or suppliers as needed.
- Test new features or updates on trade tools (e.g., portal changes, system updates) under guidance from senior team members.
- Support monitoring of partner‑facing platforms to ensure accuracy of content and correct campaign visibility.
- Perform general administrative duties including filing, tracking, record maintenance, and template updates.
- Conduct simple trade or competitor research as required.
- Support internal teams with routine tasks linked to sales priorities.
SKILLS & EXPERIENCE REQUIRED
- GCSE level or higher (A‑Level or Degree desirable but not required).
- Interest in developing a career in sales, account support, or the travel industry.
- Some experience in an administrative, customer service, or support role.
- Strong written and verbal communication skills.
- Excellent attention to detail and accuracy.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Ability to manage multiple tasks, prioritise efficiently, and work under pressure.
