GDA Apprentice Administrative Assistant - work, earn and learn
Summary of the role: To support the team with the delivery of the Adult Community Learning (ACL) programme in the Royal Borough of Greenwich.
The Skills Team in the Directorate of Place and Growth is responsible for the delivery of the ACL programme, which runs annually from 1 August to 31 July.
Delivery takes place in classrooms at the Eltham centre and at various other centres across the borough, working with eight partner organisations to provide a wide curriculum of courses and workshops that develop skills and knowledge and ultimately support progression into or within the workplace.

The programme serves approximately 3,500 learners, offers over 600 courses and has more than 6,000 enrolments each academic year.

- Professional Duties
- Perform a range of basic administrative duties allocated by line managers, which include tasks related to the formal qualification.
- Work with colleagues, taking instruction, making notes and meeting the basic needs of the team.
- Deal politely with customers, clients and residents, delivering an acceptable level of customer service after training.
- Handle calls to the service or team, log the calls and ensure all necessary information is gathered from the caller.
Deal with basic queries and direct other calls to the appropriate team member or service.
- Provide basic administrative advice and information to customers, clients and residents by telephone, email, or in person.
- Undertake general administrative duties including filing, photocopying and related tasks.
- Use and maintain equipment safely following training and instructions from a supervisor.
- Be responsible for equipment on site, ensuring all equipment is left safely and returned to the office or classroom at the end of each day.
- Team Specific Tasks
- Under direct supervision, learn about and work towards undertaking duties related to the Administrative Assistant role throughout the apprenticeship programme, assisting senior staff.
- Create and update customer records in the database systems, inputting accurate information and producing data and reports.
- Monitor actions and support the efficient delivery of services to customers.
- Order and store equipment, stationery and other items as required by the service manager.
- Support meeting room booking.
- Photocopy, scan and organise documents.
- Receive and sort deliveries and answer queries.
- Deal with incoming and outgoing post and telephone enquiries.
- Archive records, retrieve and return files as needed.
- Personal Development
- Undertake a varied programme of work experience, practical and theoretical training leading to a recognised apprenticeship qualification in Business Administration Level 3.
- Actively participate in a personal development plan agreed with the line manager and the assessor from the training provider.
Complete the academic element of the apprenticeship, with a minimum of 20 % of the working week allocated to academic training.
- Main Eligibility Criteria
- Applicants must be at least 16 years old and meet the required level in maths and English.
Those with GCSE or Functional Skills in maths and English will be screened for suitability.
- Applicants may not already be qualified at the same or higher level in the same field.
- Applicants must have lived in the UK or EU for three years prior to the start of the apprenticeship and have the right to work in the UK.
- Applicants for government funding must satisfy status requirements such as residency or leave‑to‑remain for at least three years, covering the entire duration of the qualification.
- Certain children and care leavers who have been looked after by the borough for at least 13 weeks since the age of 14 are also eligible.
- Salary
Salaries advertised are for a standard 35‑hour working week unless otherwise stated. Pro‑rata pay is calculated based on the proportion of the standard week.
