We have an exciting opportunity for a professional and client-focused Receptionist to join our team in the Manchester office. At first point of contact for our valued clients, you’ll play a pivotal role in delivering exceptional service and creating a welcoming atmosphere that reflects our commitment to excellence.

In this role, you will:

  • Greet clients with warmth and professionalism, manage incoming calls and enquiries, and ensure seamless coordination of daily operations.
  • Meet and greet clients, offering refreshments, and ensuring rooms are available.
  • Handle telephone enquiries and ensure they are dealt with effectively.
  • Coordinate with contractors or couriers visiting the office.
  • Manage car park allocations.
  • Book meeting rooms through Teams / Outlook calendar.
  • Process invoices through the COUPA system.
  • Maintain the office calendar with all internal and external appointments for all colleagues.
  • Manage emails and incoming post, saving using the electronic filing system and distributing to the office.
  • Perform general electronic filing and any other appropriate duties that may be required.
  • Arrange refreshments / lunches when required.
  • Ensure fridges are fully stocked, coffee machines are set up, and meeting rooms are tidy.
  • Issue security passes for staff and visitors.
  • Provide support to the team regarding parking, travel, and hotel arrangements, checking, and sending confirmations.
  • Fulfil Health and Safety / Fire Safety roles.
  • Order stationery supplies to ensure sufficient stock.
  • Perform other ad hoc duties as and when required.

What do you need to succeed?

Must-have:

  • Previous experience working within a reception environment or client-facing role.
  • Highly client-driven, able to build and maintain professional relationships with colleagues.
  • Experience in delivering a consistently elevated level of customer service.
  • Experience with MS Word/Outlook/Excel.
  • Professional telephone manner.

Nice-to-have:

  • Adaptable and able to deal with the changing needs of the business.
  • Knowledgeable and competent with technology-based systems.
  • Strong ability to multitask and work well under pressure.
