RAD has an exciting opportunity for an Independent Living Service (ILS) & Rota Coordinator to join its Service Delivery Team.

This is a permanent position, working 22.5 hours per week.

In return, you will receive a competitive salary of up to £27,000 per annum (FTE), depending on experience.

This role is based either at our London office or home based with travel into London for Team Meetings or other key meetings as appropriate.

About the Role

The ILS & Rota Coordinator plays a vital role in the day-to-day coordination of our Independent Living Service (ILS), ensuring high-quality, person-centred support is delivered to individuals across the service.

The role has a strong focus on rota management, care scheduling, workforce coordination and maintaining effective service delivery across a diverse team of support staff.

Working closely with managers, coordinators, support workers and people accessing the service, you will help ensure appropriate staffing levels are maintained, support packages are delivered effectively, and service records remain accurate and compliant.

Our Independent Living Service supports people with a wide range of needs, including learning disabilities, autistic spectrum conditions, complex behaviours, mental health conditions and physical disabilities, enabling individuals to live as independently as possible within their homes and local communities.

Responsibilities as our ILS & Rota Coordinator will include

  • Lead on rota planning and care scheduling, ensuring support rotas are planned proactively, maintained accurately and adapted efficiently to meet changing service needs.
  • Coordinate staffing arrangements, including allocation of support workers based on client needs, skills, experience, availability and continuity of care.
  • Manage and record staff absences, annual leave, sickness and emergency cover requirements, ensuring adequate staffing levels are maintained at all times.
  • Administer and maintain the Care Planner/Nourish system, ensuring all schedules, client records and operational data are accurate and up to date.
  • Review, implement and maintain client case files, support plans, risk assessments, case notes and associated documentation in line with organisational policies, GDPR requirements and contractual obligations.
  • Coordinate client reviews, assessments, appointments, meetings and support activities to ensure effective service delivery.
  • Monitor rota and case management systems, identifying and escalating discrepancies, service risks or gaps in provision where appropriate.
  • Act as a key point of coordination between client support packages, operational teams, managers and support staff, ensuring effective communication and continuity of care.
  • Support the administration and coordination of staff training, supervision sessions, observations, team meetings and workforce development activities.
  • Contribute to the planning and coordination of group activities, workshops, events and service initiatives that promote independence, engagement and positive outcomes.
  • Collect, maintain and report operational data, service outcomes, case studies and quality assurance information to support service monitoring and continuous improvement.
  • Promote opportunities for individuals to access additional services and support available through RAD and external organisations where appropriate.

Essential Requirements

  • Administrative and safeguarding qualification, or willingness to undertake relevant training.
  • Experience of care rota management, including coordinating approximately 100–150 shift allocations per week.
  • Experience of care service administration, case management, rostering and service provision.
  • Experience of working with deaf people or within the deaf community, including an understanding of deaf awareness, deaf culture and the barriers faced by deaf people.
  • Experience of working collaboratively with colleagues and stakeholders to achieve positive outcomes.
  • Strong organisational, planning and multitasking skills, with excellent attention to detail and the ability to manage competing priorities.
  • Effective communication, engagement, liaison and networking skills.
  • Strong problem-solving skills, initiative and a proactive, solution-focused approach.
  • Competent user of databases, recording systems and IT applications.
  • Caring, compassionate and person-centred, with the ability to advocate for the needs and wishes of the people we support.
  • Diplomacy and sensitivity when managing challenging situations and conflict.
  • Reliable, adaptable and accountable, with a commitment to continuous learning, self-development and supporting colleagues.
  • Knowledge and understanding of safeguarding principles and responsibilities.
  • Flexible approach to working, including evenings, weekends and bank holidays where required.
  • Willingness to undergo an Enhanced DBS check.
