A public sector organisation in Glasgow is currently looking to recruit a part-time Personal Secretary/Administrative Assistant for a contract to start ASAP on a rate of £17.09/hour (PAYE). This role will be hybrid based and will be 21 hours per week (3x full days).
Main Duties & Responsibilities:
- Management of a colleague’s inbox to prioritise urgent and important work (printing off emails or attachments for review, finding and/or filing documents in eRDM);
- Management of the calendar (arranging meetings and collating papers); taking/typing minutes/actions; and providing support on the use of assistive technology (voice recognition software) to access and operate systems and compose documentation;
- Provide administrative support to prepare government briefings and any other advice to Ministers, and internal and/or external communications;
- Provide support to search and gather internal and external information and/or evidence to support the role (using the sources and methods instructed) as per the competency framework;
- Provide support to the colleague to access and use all corporate systems via Saltire (the intranet). This may include, but is not limited to, FOIs, MACCS, performance management and HR related systems;
- Provide any other support reasonably required by the colleague, under the instruction of the colleague, to assist in completion of that role with reference to its competency framework, in particular assisting with tasks involving a computer keyboard and mouse, writing and associated administrative tasks.
