A branded independent agent is looking for a passionate, committed, hardworking and capable Property Receptionist based in East London. The role supports Residential Sales and Lettings Teams with administration requirements.

Responsibilities

  • Ensure all inbound calls are answered to the required standard and promptly passed to the appropriate person.
  • Book appointments into Team Member’s diaries to the required standard.
  • Accurately label property keys and record all incoming and outgoing key transactions.
  • Handle inbound calls on the switchboard.
  • Ensure canvassing materials conform with specified requirements and are posted within the required timescales.
  • Keep property software up to date with all relevant notes and changes of information.
  • Produce and circulate property details to appropriate portals and applicants as required.

Sale Department Duties:

  • Collate and upload Property Photos, Floor Plans and EPCs.
  • Produce and email weekly reports.
  • Coordinate Negotiator’s Viewings and source of leads.
  • Register applicants and manage new instructions and relevant KPI’s.
  • Generate standard letters and ensure money-laundering checks on new clients are up to date.
  • Produce canvass and tout material with marketing support.
  • Update and maintain the company website and external sites (e.g., Rightmove, OntheMarket) with updated property details.
  • Assist negotiators with admin duties and general administration support to the Sales Director.
  • Assist with marketing; advertise and proof-read adverts for weekly and monthly publications.
  • Book EPCs when needed and conduct EPC & Council Tax Searches.
  • Create brochures for all Sales & Lettings Properties and create & send out properties (Lettings & Sales).
  • Key adding/tagging for Sales & Lettings.

Lettings Department Duties:

  • Collate and upload property photos, floor plans and EPCs.
  • Record all necessary tenant information accurately.
  • Produce new tenant contracts in accordance with the negotiator’s instructions.
  • Ensure all required funds are paid in full before keys are handed over, including completed Right to Rent checks.
  • Conduct safety checks before tenants move in and liaise with the management team as necessary.
  • Provide and file all required legislative information and safety certificates to tenants.
  • Arrange, complete, file and forward inventory checks to relevant parties.
  • Provide the standard ‘Welcome Letter’ to the tenant on the day of move-in.

Qualifications / Skills

  • Ideally experience in both property sales administrator and lettings administrator; a minimum of 1 year in either role is acceptable.
  • Awareness of the company values and expected behaviours.
  • Professional image at all times, both in the office and to clients; act as an ambassador for the company.
  • Confident, well-presented with excellent written and verbal communication skills.
  • Ability to work in a busy environment, remaining motivated, passionate about property, and able to multitask without compromising quality of work or service.

Hours and Salary

  • Hours: Monday to Friday 9am – 5pm
  • Salary: £25,000 – £28,000 basic
