An exciting opportunity has arisen for a Property Administrator to join our client based in Islington, N1. This well-established and successful property investment company is currently seeking a candidate to join their in-house Commercial Property Management team. This role offers a valuable opportunity to be part of a dynamic team managing a varied and high-profile portfolio. The company owns and manages a substantial and diverse property portfolio of circa 800 commercial and residential assets. You will play a vital role in supporting the overall administration functions of the Commercial Property Department. This role focuses on ensuring the smooth and effective implementation of operating procedures and systems across the department, while acting as a central point of coordination between various internal teams, tenants, and contractors.
Responsibilities include but are not limited to:
- Assist with the day-to-day operations of the Commercial Property department across all areas of property management.
- Serve as the primary point of contact for tenants and contractors, handling queries and requests in a professional and timely manner.
- Collaborate closely with Property Managers and internal departments including Lettings, Residential, Service Charge, and Legal.
- Raise tickets upon receiving reports of property-related issues.
- Generate job orders as instructed by Property Managers for maintenance or repair works.
- Track and update the progress of jobs through to completion.
- Create POs for all logged commercial repair works.
- Distribute POs to contractors daily.
- Amend POs where necessary and ensure accuracy.
- Obtain and record quotes from contractors.
- Close POs upon confirmation of job completion.
- Support the department in overseeing health and safety compliance.
- Instruct and coordinate health and safety audits.
- Conduct site visits (as requested) to verify completion of remedial actions.
- Attend monthly compliance meetings and ensure audit schedules are followed.
- Compile and share compliance statistics with the commercial team; assist with remedial work coordination.
- Coordinate the setup and closure of utility accounts (electricity, gas, water) for commercial & residential properties.
- Liaise with utility providers to resolve billing issues or service interruptions.
- Maintain accurate records of utility providers, contracts, and account details.
- Assist with meter readings and ensure timely submissions where required.
- Support with utility-related queries and coordinate updates when tenant changes occur.
- Submit contractor invoices to the Accounts Department for processing.
- Investigate and resolve invoice discrepancies or errors.
- Conduct weekly status updates and checks on contractor invoices.
- Act as the first point of contact for commercial tenants.
- Assist property managers with repair, service charge, utility and insurance-related queries.
- Provide professional and responsive communication at all times.
- Issue clear and timely work instructions to contractors.
- Maintain and update PO trackers.
- Address invoice queries and monitor the progress of outstanding works.
- Manage keys: arrange, distribute, and track key usage.
- Oversee diary management for the Commercial Property team.
- Monitor and manage the team’s administrative/utilities email inbox.
- Attend supplier review meetings (e.g. with cleaning companies).
- Oversee telephone system setup, including diversions when staff are absent.
The Successful Applicant will need to possess the following skills:
- Demonstrable experience in property roles – residential or commercial.
- Demonstrable knowledge of general repairs and maintenance.
- Demonstrable knowledge of health and safety.
- Minimum A Levels in relevant subjects i.e. Business/Administration or equivalent professional qualifications.
- Approachable and confident when dealing with client enquiries.
- Able to work within a fast-paced team.
- Autonomous, able to work independently.
- A good team player – friendly and personable.
- Excellent communication skills, both written and verbal.
- IT/Computer literate (Word and Excel).
- Desirable knowledge of Software packages Horizon, Meridian and Vantify.
- Attention to detail and numerate.
- Reliable and punctual.
The hours will be: Monday to Friday – 8:30am to 5:30pm. Plus private medical insurance. Cycle to work scheme. Travel loan. Salary range will be: £30,000 to £35,000.
