Overview of Role
Great Wealth Managers must provide a first class personal service, where team members truly know each client and understand their requirements, whilst also delivering on each client’s investment requirements. To achieve this, we adopt a collaborative approach, splitting relationship and portfolio responsibilities between Client Adviser and Portfolio Manager teams. We are looking for a proactive, enthusiastic and experienced Assistant to provide comprehensive secretarial and administrative support to one large Client Adviser team. Client Adviser teams are responsible for all elements of a client’s relationship with Rothschild & Co Wealth Management. This includes: working with clients to determine their investment requirements, co-ordinating investment advice and handling all day-to-day client needs. Teams are comprised of senior Client Advisers, Associates and Analysts, who support Client Advisers, and Client Service Executives. The Assistant is an integral part of these teams.
Responsibilities
- Liaising with clients, external companies, internal teams and other Rothschild & Co offices
- Diary management – organising meetings, conference calls, client dinners & entertainment
- Managing email inboxes on behalf of the team as required
- Keeping the CPD records of the team up-to-date
- Dealing with expenses for all members of the team
- Dealing with telephone calls in a professional manner
- Travel arrangements – to include preparation of itineraries, booking hotel and flights, currency requirements etc.
- Maintaining a list/report of important client dates: birthdays, anniversaries, review meetings etc.
- Maintaining data lists and preparing communications for bulk client/prospect communications
- Organising regular meetings to review prospect lists and follow up accordingly
- Adding all client, prospect and intermediary meetings to CRM tool, ensuring meeting notes are logged, actions and follow-ups are completed/diarised
- Proactively generate team client events and gift ideas, liaising with Events & Marketing teams when required and managing all associated communication and logistical administration
- Proactively organise team building/socialising events
- Onboarding of new team members
- Dealing with all printing requirements, ensuring accuracy at all times
- Ad-hoc additional projects as and when required
Experience, Skills and Competencies Required
- Previous secretarial or administrative experience preferred
- Good IT skills to include Outlook, PowerPoint, Word and Excel
- Strong organisational skills, ability to multi-task and maintain exceptional attention to detail even when working under pressure
- Excellent interpersonal skills – able to communicate clearly and effectively at all levels
- Ability to anticipate and resolve issues in advance; e.g. conflicting meetings, meetings running late
- Can do attitude and ability to approach all tasks with energy and enthusiasm
- Understands the need for discretion and displays the highest levels of professional integrity
- Enquiring mind and a desire to succeed
- Self-motivated, efficient, reliable
