Overview of Role

We are looking for a proactive, enthusiastic, and experienced Personal Assistant to provide comprehensive secretarial and administrative support to the Front office comprising of two Managing Directors (the Head of Client Teams and Head of Client Strategy and Execution). They are jointly responsible for leading the Front office for WMUK working with Client Teams, Central office, and Marketing & Business Development.

Responsibilities

  • Diary Management: Organising meetings, conference calls, dinners, and entertainment. Working closely with the Chief of Staff to track actions and support both Managing Directors. Ensuring follow-ups or to-dos from Committees, Board, and Management meetings are logged and actioned. Organising regular meetings with direct reports, tracking any agenda items ahead of the meeting. Gatekeeper for both the Head of Client Teams and the Head of Client Strategy and Execution. Ensuring both Managing Directors are prepared for internal and external meetings, collating papers, ensuring adequate preparation with relevant client advisors, and allowing reading time. For internal meetings, liaising with the Chief of Staff/colleagues to ensure they have had all relevant papers including board packs and have had time to discuss any issues ahead of the meeting. Ensuring both Managing Directors keep to their schedule, anticipating challenges and where they might overrun, and learning what to prioritise. Anticipating and resolving issues in advance.
  • Communication: Managing both inboxes as required, deleting junk, flagging urgent requests, and creating a to-do list (planner) and following up accordingly to ensure these have been done. Dealing with all communication (phone, email) in a professional manner, taking accurate telephone messages and responding appropriately and promptly.
  • Admin: Attending Front office management meetings, taking any minutes required. Keeping CPD records up-to-date. Reconciling expenses and claims promptly and accurately. Updating Workday requests from direct reports. Organising agendas for various Client Adviser meetings. Responsible for organising hotel and travel arrangements (international and domestic) as required, including foreign currencies, airport pickups, hotels, etc. Responsible for accurately preparing travel itineraries which include contact details, key addresses, and any relevant documents.
  • Teamwork: Build good working relationships with other EAs/Team Assistants across the business. Build good relationships and work closely with the Business Management Team. Proactively organise team building events.
  • Other: Providing assistance with any personal admin (i.e. doctors' appointments, gym, family travel, etc.) and reminders of things to be done. Needs to be adaptable on this point and recognise that providing this support frees up the Managing Directors' time.

Experience, Skills and Competencies Required

  • Previous secretarial or administrative experience supporting senior individuals essential.
  • Good IT skills to include Outlook, PowerPoint, Word, Excel, and Teams.
  • Strong organisational skills, ability to multi-task across a broad range of tasks, and maintain exceptional attention to detail even when working under pressure.
  • Excellent interpersonal skills, able to communicate clearly and effectively at all levels.
  • Ability to anticipate and resolve issues in advance; e.g. conflicting meetings, meetings running late.
  • Can-do attitude and ability to approach all tasks with energy and enthusiasm.
  • Understands the need for discretion and displays the highest levels of professional integrity.
  • Enquiring mind and a desire to succeed.
  • Self-motivated, efficient, reliable.
  • Enthusiastic attitude, solutions-focused, reliable with a flexible attitude towards working hours.
