Overview of the Role
We are seeking a proactive and highly organised Events Administrator (Analyst Grade) to join the Wealth Management UK Marketing & Business Development team. This role offers the opportunity to work closely with the Event Manager, Event Specialist, and Head of Events & Partnerships, as part of a dynamic and collaborative marketing and BD function.
Our team is responsible for the planning and execution of all internal and external marketing initiatives across the UK division. We support Client Advisers (Private Bankers) in strengthening client relationships and achieving business objectives through strategic communications, events, and business development activities.
This position is ideal for someone looking to gain broad administrative experience in a fast‑paced environment, while contributing to the delivery of a high‑impact events strategy.
Key Responsibilities
Event Support
- Assist in the end‑to‑end delivery of events, including venue sourcing, guest list management, on‑site registration, and post‑event reporting.
- Over time, take ownership of smaller events that relate to our private clients, professional adviser network and employees with the guidance and support of the wider team.
- Assisting with event delivering, supporting the wider team with set‑up, registration etc.
- Coordinate event communications using Marketo (marketing automation tool), to create invitations, confirmations, and follow‑ups.
- Collaborate with internal creative teams and external designers to produce event materials (emails, invites, menus, wine booklets, further collateral).
- Compile and validate data lists for email campaigns; track and report on key metrics such as delivery, open rates, up‑take, attendance.
- Assist with compliance tracking as per the internal company policy.
- Maintain and update CRM records and manage data uploads.
- Provide technical support for hybrid events, including streaming via Microsoft Teams.
- Handle ad hoc tasks such as liaising with suppliers, placing orders, and managing hospitality elements (e.g., wine orders).
Budgeting & Invoicing
- Process event‑related invoices, maintain accurate reconciliation trackers, allocation of expenses.
- Work closely with the finance team to ensure timely and accurate budget closure for each event.
- A confident and professional communicator, comfortable engaging with stakeholders at all levels and representing the team at in‑person events.
- Proven ability to manage multiple tasks and deadlines in a fast‑paced environment.
- A genuine interest in events and marketing.
- Highly organised with strong attention to detail and a proactive approach to problem‑solving.
- Maximum of 1 year event experience within a luxury event environment.
- Must be flexible as the role will involve working out of the core hours.
