Executive Assistant to the Senior Vice President, Development, EMEA and APAC and the Senior Vice President, Residential, Global plays a key role in ensuring efficiency and seamless executive support in a fast-paced, international environment. The EA's ability to manage critical tasks - executive coordination, travel logistics, expense management, and stakeholder communication - will directly enhance leadership effectiveness and operational performance. By streamlining workflows and supporting strategic initiatives, the EA contributes to the success of the regional leadership teams and the broader organization.
Key Responsibilities
- Travel arrangements: Overall schedules, flight and hotel booking, meeting room, restaurant and transfer bookings.
- Expenses: Collect monthly receipts and input to Concur.
- Managing meeting scheduling and coordination: Organise daily schedules and calendars with internal and external stakeholders.
- Projects: LEB executive presentation for GDC, assist with RFPs, outlining the brand, key terms, and points for prospective owners, help compile and format the Resi Quarterly deck.
- Sales communication: Receive and record weekly sales figures from properties, consolidating them into summaries for executives, prepare and send monthly and quarterly sales updates, including HOA and license fee data.
- Other: Manage NDA paperwork, track and update project changes in summary sheets, assist with notetaking and creating meeting agendas as needed, attend meetings to maintain a comprehensive understanding of project statuses.
- Event coordination: For in-person meetings at the office, organise meeting materials and set up the room, order and set up lunch, arrange beverages etc.
Critical Skills & Qualification
- Previous experience with supporting regional business leaders at C-Suite level.
- Well organised, self-motivated, strong sense of responsibility, detail oriented and accurate at work.
- Good command of both written and spoken English; Dutch or any other language is a plus.
- Proficiency in MS Office - Word, Excel, PowerPoint, Outlook.
- Positive and cheerful disposition, team spirit.
- Ability to work independently with minimal direction.
