Our client are a market leader in the Mechanical Handling industry. This role will provide business critical support with technical documentation, information management, security and TimeControl.
Main duties and Responsibilities:
- Document Control
- Assist the Security Controller/Planner to ensure Project Managers are supported by the following duties:
- Manage the Project Department’s formal issue and receipt of project documentation
- Control the approval of internal and client comments to documentation
- Receive supplier documentation, checking document requirements then issuing to relevant projects, ensuring prompt turnaround of approval
- Accurately control the numbering of documents and drawings
- Maintain a document library for all documentation.
- Create and standardise project specific document trackers
- Expedite suppliers to ensure approval and final documents are received on time
- Assist the security controller with maintaining security clearances and training, document destruction and incident management
- TimeControl:
- Provide reports from TimeControl
- Upload timesheets for site employees
- General:
- Work in a collaborative manner with all internal and external interfaces
- Manage travel and accommodation bookings
- Occasional reception and switchboard cover
- Assist with procurement activities
- Work in line with Quality Control objectives
- Ensure that responsibilities with regard to the company’s Environment, Health, Safety and Quality Standards are met and understood
Skills, Knowledge and Experience
- General
- Educated to GCSE level
- Proficient with diverse software including MS Office and Adobe Acrobat
- Good attention to detail with accurate inputting skills
- Have a systematic and disciplined approach to work; able to plan, schedule and monitor own work within limited and defined timelines
- Is able to adopt a proactive and coordinated approach in identifying anomalies
- Excellent communication skills with staff at all levels - verbal and written
- Electronic Records Management qualifications
- Desirable
- Experience in using EPDM (Enterprise Product Data Management) or similar EDMS
- Experience in working in a document control office for engineering project groups
- Experience in nuclear/defence or oil and gas industries, processing design documentation and working to departmental and project procedures
