This vacancy has arisen due to the planned retirement of our current post-holder later this year, and we hope to appoint in time to allow a short overlap period for handover and training.
This is an important and varied role, supporting the Practice Manager and GP Partners with the effective running of practice finances, income monitoring, financial reporting and data searches. The successful candidate will help ensure the practice has accurate, timely financial information and is able to make informed decisions about income, expenditure, cash flow and future planning.
Main duties of the job
- The role includes day-to-day finance management using Xero, payroll and pension support, invoice processing, liaison with accountants, monitoring NHS income streams, and preparing reports and forecasts for the partners.
- The post-holder will also support practice data work, including Excel reporting, EMIS searches, audits, QOF/enhanced service reporting and patient communication campaigns.
Job responsibilities
- To manage and coordinate all aspects of practice finances, optimising efficiency and financial performance, ensuring the organisation achieves its long-term strategic objectives.
- Lead the running of patient searches and requested reporting data, the administration of databases, user accounts and clinical system queries.
- Provide support and oversee the maximisation of both enhanced services and QOF achievements, reporting to the Partners and Practice Manager.
- Be an integral part of the general practice team working closely with the Practice Manager and Partners to support the achievement of NHS targets and changes within a profitable, efficient practice environment.
Duties and Responsibilities
The following are the core responsibilities of the Finance/Data Manager in delivering health services. There may be, on occasion, a requirement to carry out other tasks. This will be dependent upon factors such as workload and staffing levels:
- Finance: Manage practice finances, maximising income and reducing expenditure. Accurately monitor cash flow, forecast and predict workflow corresponding to income. Review all income and expenditure statements, identifying any inaccuracies and rectifying such issues. Ensure invoices are paid within the given time frame. Maintain an effective system for the handling of petty cash. Submit year-end figures, liaising with the organisation's accountant. Manage and oversee the organisation's pension scheme, retaining accurate records. Manage partners' drawings. Manage and oversee PAYE for all practice staff. Present financial forecasts to partners as required. Ensure that effective financial controls are in place and processes are adhered to. Understand and brief the management team on the financial implications of contract and legislation changes affecting the organisation. Maintain an effective working relationship with the ICB, ensuring the organisation receives a proportionate and equitable allocation of resources. Be instrumental in ensuring that both Enhanced Service and QOF achievements have been maximised.
- Data: Build, generate and carry out searches as required by the organisation team to enable reports to be produced and action plans devised. Support the team in the effective use of searches, audits and recalls. Support the team in the use of the clinical systems. Configure searches and interpret data for audit purposes. Support with all elements of the online patient access software (Emis / Docman / Accurxtriage). Support in the writing of all IT/Data related policies and protocols and user guides. Configure (activate and deactivate) all staff patient access software accounts. Deliver the IT/Data related elements of the staff induction programme. Ensure all staff have the appropriate smartcard access to the clinical system.
