Our client is recruiting an experienced, organised and proactive Practice Manager to take responsibility for the smooth and efficient running of the practice. This is a key role within the business, working closely with the Partners and wider team to ensure that the practice operates effectively, delivers an excellent level of client service and continues to grow. The successful candidate will be comfortable working across different areas of the practice and will enjoy being at the centre of the business. You will have responsibility for day-to-day operations, team coordination, workflow and deadlines, compliance, IT systems and facilities as well as supporting client account management, events, practice promotion and a range of small projects. Key Responsibilities Practice, Operations & Client Services * Oversee the day-to-day running of the practice and ensure that the office operates efficiently and effectively. * Coordinate workflows across the team, ensuring work is appropriately allocated and progressed. * Answer incoming calls and deal with enquiries in a professional, friendly and helpful manner. * Monitor key deadlines, including accounts, tax returns, VAT, payroll and other client deliverables. * Develop, maintain and improve internal processes, procedures and systems. * Support the Partners with the implementation of business plans and practice initiatives. * Assist with small projects and other initiatives as required. * Help maintain strong client relationships and identify opportunities to improve the client experience. * Work with the Partners and team to ensure client expectations, deadlines and responsibilities are clearly communicated. * Assist with client account management and related administrative activities. * Support activities designed to promote the practice and enhance its profile. * Assist with organising and running internal and external events. Compliance, IT & Facilities * Monitor compliance with internal processes and highlight areas requiring attention. * Take responsibility for the management and coordination of practice compliance requirements. * Manage facilities, office suppliers, maintenance and general office requirements. * Ensure the office remains a professional, well-organised and welcoming environment. Financial & Commercial Support * Assist the Partners with monitoring practice performance and profitability. * Assist with ensuring work is billed accurately and on a timely basis. * Monitor client payment terms and follow up overdue accounts where appropriate. * Assist with budgeting, forecasting and monitoring practice costs. * Provide the Partners with regular updates on operational and financial matters. Team & HR * Support recruitment, onboarding and training of new team members. * Support performance management and staff development where required. * Act as a point of contact for staff queries and escalate issues to the Partners where appropriate. * Assist with HR-related matters, working closely with the practice's external HR consultant. * Help foster a positive, supportive and collaborative working environment. Essential Skills & Experience Previous experience as Practice/Office Manager or similar management role required. Experience working within a practice or professional services environment. Strong organisational and time-management skills. Experience managing or coordinating a team. Excellent communication and interpersonal skills. Strong attention to detail and a high level of accuracy. Ability to manage multiple deadlines and competing priorities. A proactive approach to problem-solving and the ability to use initiative. Good understanding of client service and relationship management. Comfortable using practice management software and Microsoft Office. High level of confidentiality, discretion and professionalism. Experience or exposure to compliance, IT and facilities management HR knowledge/experience advantageous The Person Our client is looking for someone who is approachable, dependable and hands-on, with the confidence to take ownership and make things happen.
