Accountable for the accurate and timely operation of the purchase ledger, sales ledger, credit control and weekly and monthly payrolls. The postholder manages the transactional finance team as its first point of escalation, ensuring ledgers are reconciled, overdue debt is chased, supplier payments are controlled, payroll is delivered on time and the Head of Finance has an accurate view of cash, liabilities and payroll.
Key responsibilities:
Team leadership and workflow
Manage, support and develop the Payroll Executive, Credit Controller and Purchase Ledger team, holding regular one-to-ones and addressing performance and training needs.
Set daily, weekly and month-end priorities, monitor progress and ensure deadlines are met, with adequate cross-training and cover.
Ledger integrity and month-end control
Take overall responsibility for the accuracy of the purchase ledger, sales ledger, payroll journals and control accounts, keeping them clear of duplicates, old balances and unallocated items.
Complete and review reconciliations to the month-end timetable, with reconciling items cleared, and give the Head of Finance concise weekly and month-end reporting on cash, payroll, supplier payments and control issues.
Credit control and sales ledger
Lead the credit control process, with a consistent chasing cycle prioritised by value, age and risk, and payment promises recorded and followed up.
Maintain a dispute log, resolve invoice queries quickly with Operations and Sales, and report overdue balances and collection risks to the Head of Finance.
Recommend account holds, credit limit changes or recovery action in line with the Company's approval process, and ensure receipts are allocated promptly and credit notes and refunds are properly approved.
Purchase ledger and supplier payments
Oversee timely processing of supplier invoices and credit notes, including matching, coding, VAT treatment and authorisation, and reconcile supplier statements.
Prepare accurate payment runs in line with agreed terms and the delegated authority matrix, and control supplier bank detail changes with independent verification before payment.
Payroll
Oversee the weekly and monthly payrolls, ensuring they are accurate, authorised and on time.
Review variance reports and gross-to-net reconciliations before submission, and ensure starters, leavers, pay changes and deductions are supported and correctly processed.
Oversee RTI, HMRC and pension deadlines and year-end, investigate errors and keep payroll data strictly confidential.
Banking, controls and processes
Ensure bank accounts are reconciled on time and provide reliable short-term information on receipts, payments and payroll funding.
Maintain segregation of duties over payment files, stop any transaction lacking evidence, approval or credible bank details, and elevate suspected fraud immediately.
Maintain written procedures and checklists, and implement practical improvements and system changes that reduce manual work and errors.
Ensure records are retained in line with policy and statutory requirements, and support internal reviews and external audit.
Measures of success and expected outcomes:
Payroll: All payrolls, payments and statutory submissions are accurate and on time.
Credit control: Cash collection meets targets; overdue debt, disputes and broken promises are reduced.
Purchase ledger: Invoices are processed to timetable, payment runs are accurate and statement differences resolved.
Ledger control: Control accounts are reconciled by month-end and payments, credits and master data changes are fully evidenced and approved.
Authority and escalation
Allocate work and approve or return transactions within delegated limits; recommend account holds, recovery action, payment exceptions and process changes to the Head of Finance.
Escalate payroll errors, suspected fraud, cash risks and control failures immediately.
Final bank payment and payroll release authority remains subject to the Company's delegated authority matrix.
Person specification - Essential experience and knowledge
Strong transactional finance experience across purchase ledger, sales ledger, credit control and payroll, including managing a small team and addressing underperformance.
Proven ability to maintain clean ledgers and deliver accurate reconciliations and month-end information to deadline.
Working knowledge of UK payroll, including PAYE, National Insurance, RTI, pensions and statutory payments.
Good Excel and finance system skills, with clear professional communication and high standards of accuracy and confidentiality.
Hands-on, organised and calm under pressure, with the judgement to challenge unsupported requests and escape at the right time.
Desirable experience and qualifications
A relevant qualification (AAT, CIPP or equivalent) and experience in a high-volume, multi-site or logistics business.
