Job Purpose

As our Operations Coordinator, sit at the heart of the business and help keep everything running smoothly day to day — supporting our people, customers, systems and suppliers, and helping the whole company stay organised and connected. What matters is this role is that you are naturally organised, reliable, quick to learn and genuinely keen to roll your sleeves up and get stuck in. You won't be expected to know it all on day one. You will report into our CFO and work closely with our Leadership Team, who will support you in your day-to-day work — so your job is to coordinate, organise and administer the day-to-day activity brilliantly, learning how a whole business runs as you go. You will be given real responsibility from the start, supported closely as you learn, and have the opportunity to grow your role, and your career, as RoleMapper grows.

As our Operations Coordinator, you will be responsible for:

  • Helping our people have a great experience — coordinating recruitment, onboarding, benefits, HR records and offboarding
  • Keeping our customer contracts and paperwork organised — managing signatures, supplier onboarding and purchase orders
  • Coordinating our IT, systems and software so the team stays equipped and connected, working with our IT partner
  • Helping keep the business compliant and organised by supporting our data protection, security and quality frameworks
  • Managing suppliers, subscriptions and costs, and keeping agreements and records up to date
  • Bringing the company together by coordinating meetings, internal communications and our team offsites and socials
  • Being the go-to organiser who supports the Leadership Team, improves how we work and helps everyone get things done

To be successful in this role you will have:

  • Experience working in a role that depended on being highly organised: eg operations, administration, coordination, office/team support, HR or customer service.
  • Exceptional organisation and attention to detail, with the ability to keep lots of things on track at once
  • Evidence that you can follow, improve or build a process: spotting a smarter way of doing something
  • A confident, hands-on user of everyday business tools (MS Office), ideally with exposure to a CRM, project, HR or finance system. You pick up new software quickly and enjoy it
  • Reliability and discretion — people can count on you to follow through and to handle sensitive information carefully
  • A proactive, self-starting attitude, and a willingness to muck in wherever you are needed
  • A real eagerness to learn, and curiosity about how a growing business works
  • Confident, friendly communication skills, both in writing and with people across the team, customers and suppliers
  • Excited about learning and using AI to improve processes and make things more efficient

Salary & Benefits

Salary range: Up to £45k dependant on experience. In addition to 25 days of annual leave, we offer a paid shutdown between Christmas and New Year, which usually equates to an additional 3 to 5 days depending on how the dates fall. Everyone also gets their birthday off each year to celebrate properly. Our working week also has a little perk built in, as we finish at 3pm every Friday. At RoleMapper, we offer a flexible benefits package that has been designed to give you as much choice and control over your own benefits as possible.

Location

We are a remote-first team but do regular working days in London, so you would need to live/work somewhere easily accessible. If you prefer working in an office, we offer flexible memberships to regional workspaces.

Recruitment process

As part of our recruitment process, we feel that it’s important for you to get to know us, understand the reality of what it’s like here at RoleMapper and get a true flavour of the role you are applying for. With this in mind, our recruitment process contains the following steps:

  • Initial Recruiter and Senior Business Operations Manager Conversation to provide an overview of the company, our strategy, and the role. This is also an opportunity for us to learn more about your background, experience, and potential fit.
  • Conversation with our CFO to explore your organisational skills, motivations and fit with the role.
  • Work-Based Assessment & Psychometric Assessment - you will complete a Wave psychometric assessment ahead of the work-based session. During the work-based session, you’ll be asked to present and discuss your approach to several relevant tasks, allowing us to understand how you think, solve problems, and apply your expertise in practice.
  • Final Conversation – CEO & Founder to discuss any remaining questions and explore your motivations and fit with our vision and culture.

While there are quite a few steps, we try to do these as quickly as we can. We ideally aim for all of this to happen across a 2-3 week period.
