The IT department sits within the Corporate Services directorate and plays an important part in enabling Roke to deliver customer work. The department provides effective, compliant, secure, and resilient technical infrastructures, allowing our people to work effectively wherever they are based.
Job Purpose & Key Responsibilities
To design and implement effective processes for the management of assets for 1000+ users working on multiple networks, which include a substantial on-prem datacentre footprint and a growing multi-cloud estate. To establish a Software Asset Management (SAM) practice that will support colleagues managing network operations, software development, cyber-security, change, procurement and service-delivery.
The Digital Asset Coordinator is a key role in the Corporate IT department and sits in the End User Services Team. The role is crucial to the success of the IT asset value management strategies for software and services, including one-off and enterprise software licensing, engineering and development tools and micro services, aaS cloud platforms, telephony and printer services. The role must strive to ensure compliance and delivery of best value in the IT Asset Management space.
Responsibilities include:
- Oversight and management of the Corporate IT end user software estate using appropriate tooling and act as an approver in the software approval process. Maintain the approved software list for business laptops.
- Work closely with Group IT to understand the M365 licensing estate within Roke and monitor ongoing requirements.
- Oversight and management of the Corporate IT server license estate, using appropriate tooling to manage licensing and compliance.
- Monitor software license renewals, ensuring that ongoing requirements are confirmed in line with renewal periods and that budget is projected and allocated accordingly.
- Monitor and manage ongoing corporate IT licensing requirements in the cloud such as AWS use and SaaS platforms including the ERP, HCM, CRM & MRP Enterprise Systems.
- Oversight of the wider end user software estate within Roke’s business units understanding what is in use and where it is installed, seeking opportunities to improve value.
- Accountable for any software license data that sits within Roke IT’s CMDB.
- Maintain oversight and work closely with Supply Chain on contracts related to analogue, digital and mobile telephony and lease line provision to Roke sites.
- In all areas concerning IT software and contracts, liaise with the IT Leadership Team to define the requirements and work with supply chain to source and deliver.
- Custodian of the Corporate IT Software approval policies recommending amendments as requirements evolve.
- Deliver excellent customer service at all times, building strong relationships with stakeholders in the business units and wider business services teams.
- Assisting colleagues with the creation of business cases for new or changing software license commitments.
- Keep IT management apprised of any emerging or ongoing problems.
The role is hybrid working and required on site as per company policy with regular visits to Romsey each month and prepared to attend other sites as necessary.
Education and Qualifications
Experience of an ITIL environment desirable. Experience of using Licenseware as a software asset management solution is desirable.
Technical Knowledge
Strong knowledge of Software product types and the complexity of different licensing models. Understanding of different telephony and internet connectivity technologies. Understanding supply chain functions and vendor contracts. Asset management tool sets and preparing reports.
General Skills and Knowledge
Previous experience in IT software asset management roles. Proactive in upskilling and staying current with changes in the IT sector related to technology, software and cloud services. Excellent communication and networking skills. Analytical and problem solving. Ability to manage conflicting priorities. Proactive and supportive team player. Able to use a high level of initiative and task ownership. Flexible and agile approach to high workloads. Strong advocate for the IT Department in the wider business.
