Key Responsibilities

  • Support the Practice Manager in managing the administrative/reception team, handling daily operations, and ensuring high standards of patient service.
  • Coordinate training, manage rotas and resolve issues to bridge staff needs with practice goals and CQC compliance.
  • Perform core administrative tasks including booking appointments, patient registration, and workflow management.
  • Motivate staff, manage performance, facilitate communication, and promote operational efficiency with a focus on short‑term goals and individual development.
  • Provide first‑line support, guidance and coaching to admin/reception staff; conduct training, identify developmental needs, and manage staff rotas.
  • Oversee daily reception and admin operations, ensuring efficiency under established office procedures and adherence to legislation.
  • Manage workflow processes such as post, scanning, and document processing.
  • Ensure compliance with CQC regulations and quality standards.
  • Provide administrative support for clinical staff: file patient records, distribute practice post, register new patients, send letters/text messages, and update EMIS listings.
  • Carry out ad‑hoc duties: scanning, weekly review of paperwork, and monthly stocking of consulting rooms.
  • Adhere to confidentiality, safeguarding, health & safety, and equal opportunities policies.

Essential Knowledge and Skills

  • Educated to GCSE standard, grade 4 & above including Maths and English.
  • Excellent leadership, organisational, interpersonal and communication skills.
  • Good IT skills, including MS Office packages.
  • Ability to remain calm and patient in stressful situations.
  • Ability to read, write, and speak English to a good standard.
  • Strong organisational skills with the ability to prioritise tasks effectively.
  • Ability to work autonomously and as part of a team.
  • Excellent written, verbal and listening skills.
  • Awareness of confidentiality requirements and compassion.
  • Understanding of equality, diversity and confidentiality in a healthcare setting.
