The Role: As Global Sales Co-ordinator you will join the Global Sales team at the Head Office of Rocco Forte Hotels in Central London, reporting to the Regional Director of Global Sales. As a key member of the team your main responsibilities will be to provide organisation and support to the company’s global sales team in the UK, Europe and Middle East.

The successful candidate will coordinate a wide range of sales activities, including:

  • Sales trips
  • Trade shows
  • Client events
  • Showcases

They will support the planning and delivery of these initiatives and represent the team at events where appropriate, helping to strengthen client relationships and promote the business.

The role will involve organising educational trips and events, including:

  • Production of invitations
  • Venue sourcing and booking
  • Guest list management
  • Liaison with hotels
  • Coordination of travel arrangements

A key responsibility will be maintaining the accuracy and integrity of Opera and RF CRM systems, ensuring records are kept up to date and supporting the production of monthly reports and performance insights. In addition, the postholder will manage conference, events and entertainment pipeline tracking reports, ensuring information is current and readily available.

The candidate will organise, attend and participate in team meetings, taking ownership of follow-up actions and ensuring agreed tasks are completed within the required timescales. They will also provide comprehensive administrative support to the sales team, including:

  • Appointment scheduling
  • Travel and accommodation bookings
  • Coordination of monthly expense submissions
  • Purchase orders and invoices

As the central point of contact for office administration, the successful candidate will manage telephone enquiries, circulate relevant hotel and business information, and oversee stationery and brochure stock levels to ensure the office operates efficiently and effectively at all times.

The successful candidate will provide administrative and commercial support to the Corporate and Leisure Sales team, assisting with the completion of RFP submissions through Lanyon and supporting sales managers with data entry, reporting and event coordination activities.

The role will involve handling entertainment, conference and incentive group enquiries, ensuring all opportunities are accurately recorded and tracked through the Pipeline Tracking Report. The postholder will maintain organised and up-to-date records, supporting effective enquiry management and reporting across the sales function.

In the absence of the Conference & Incentive Sales Manager, the successful candidate will act as the first point of contact for new enquiries, identifying suitable hotel options and coordinating the distribution of client briefs to participating properties. They will manage the proposal process from initial enquiry through to client presentation, ensuring responses are delivered promptly, professionally and in line with brand standards, while maintaining a high level of customer service throughout.

Who we are looking for: We are seeking a highly organised and proactive individual with experience in sales coordination, sales support, events administration or hospitality sales, ideally within the hospitality, travel or service sectors. You will have excellent organisational and time management skills and be comfortable managing multiple priorities and deadlines in a fast-paced environment. You will possess strong administrative skills, with experience coordinating travel arrangements, managing expenses, processing invoices and purchase orders, and supporting event logistics. Previous experience organising events, client functions, educational visits, trade shows or other customer-facing activities would be advantageous. You will be able to manage sales enquiries professionally and efficiently, ensuring opportunities are accurately tracked and responded to within agreed timescales. A strong commitment to customer service, professionalism and attention to detail will enable you to deliver consistently high standards and ensure all activities are completed in line with company and brand expectations.
