Job Opportunity

Gallery Assistant – FULL TIME

Robilant + Voena seeks a full-time gallery assistant located at 38 Dover Street, London.

Hours: 10 am – 6 pm, Monday – Friday, with occasional evening and weekend work as required.

Gallery Operations

– Work the front desk welcoming visitors and answering phone calls

– Ensure any needed stationery and office supplies are kept stocked

– Point of contact for building facility and providers

– Organize gallery events by arranging any catering, rentals, and dinner arrangements

– Organize client lists for events, prepare and distribute invitations, RSVPs, and follow-ups for clients and stakeholders

– Assist sales staff as needed

– Mail or ship various items as needed, such as paper invitations or catalogue orders

– Maintain an organised and tidy workplace

– Arrange travel and accommodation for artists and curators when necessary

Assistance: Head of Operations

1) Artlogic

– Update and maintain ArtLogic records regarding locations, consignment, import/export documents, COA

– Add new contacts and amend pre-existing contacts

– Create and maintain contact categories and lists

– Create new records for incoming artworks, notify appropriate colleagues as needed

– Upload consignment agreements to the relevant ArtLogic records

– Upload experts and internal condition reports on Articheck and ArtLogic

– Ask colleagues to fill their role specific information when there is missing data on an entry (e.g. financials, description, consignor)

– Update artwork locations and ensure consistency of location formula/phrasing

– Create lists of works in Artlogic for shipments, fairs, and exhibitions

– Create and maintain stock numbers

2) Stock

– Condition checking artworks using Articheck

– Organise local shipments/logistics

– Assist head of operations in handling artworks when needed

– Liaise with shipping service providers when requested

– Manage local artwork deliveries and collections

– Monitor consignment and loan agreements, track expiration of agreements and alert head of operations of upcoming expirations

– Prepare and update a shipping guide to facilitate the sales activity. Ensure to put the relevant import taxes, artwork status, average shipping time and costs, VAT

3) SharePoint

– Add logistic documents to art fair or exhibition folders when relevant so all information is easily accessible

Assistance: Partners

– Organize, maintain, and supply the two partners office space, ensuring a clean and functional workspace

– Book hotels, restaurants, flights, and other transportation for business trips

– Maintain and update partners’ calendars, send reminders

– Maintain, organize and categorise contacts within ArtLogic or similar CRM systems

– Compile and manage artwork lists

– Support ad hoc tasks and special projects as assigned

Skills and Competencies

– Organization skills: The individual needs to be highly organized with attention for details

– Communication: The individual should be an excellent communicator with the ability to talk to a wide range of people

– Project-oriented skills: The individual must be able to multitask, switching from customers facing situations to administrative projects as the need arises.
