As the Director's PA/Office Manager, you’ll be part of a team that’s doing incredible things - for ourselves, for the built environment around us, and for a truly sustainable future.
Your new role
To provide full PA support to the MD and senior management team, combined with the administration support for all other staff:
- Provision of PA and secretarial support to Managing Director and Directors.
- Distribution of correspondence and actioning of mail where appropriate.
- Dealing with confidential letters/reports.
- Dealing with all telephone calls for Managing Director and Directors.
- Dealing with Directors’ expenses.
- Dealing with travel requirements, hotel bookings, and itineraries as required.
- Booking meeting rooms and arranging lunches/refreshments.
- Purchasing of office furniture and office supplies as required.
- Managing diary appointments and arranging meetings.
- Organisation of board meetings as required.
- Collation of papers for regional board meetings.
- Photocopying and binding board papers/reports.
- Minute-taking for meetings as required.
- Responsible for the smooth running of the office.
- Administrator for Robertzone – Central West Team Site page, ensuring all kept up to date and announcements communicated to the Team.
- Responsible for office health & safety.
- Fire warden and First Aider.
- Attend HR Consultation meetings as required to take minutes.
- Coordinate AXA health surveillance for the business; scheduling initial appointments, management of recall appointments, and recording of all information on HR database.
- Arranging inductions for new starts in the business as required.
- Arranging any maintenance work required in the office.
- Organising company events.
- Administration of sickness and holiday records.
- Working with Bid Manager to schedule Tender/Gateway Meetings, collate papers.
About you
We look for our office manager/personal assistant to be organized with strong verbal and communication skills. You will be approachable with a flexible nature. Microsoft Office skills will also be essential. Come show us your pro-active personality and help us work the Robertson way.
