Are you an organised and motivated Transport Coordinator looking for an opportunity to advance your career? As a Transport Coordinator, you will work as part of the busy Operations team providing support and assistance to Drivers on a daily basis. This includes answering queries, providing necessary paperwork and escalating any concerns raised in a professional and courteous manner whilst ensuring the correct procedures are followed.

We have an extensive fleet of executive vehicles which helps us to service a wide range of activities across all aspects of bus and coach travel. The role will be based at the Roberts Travel Group HQ in Hugglescote, Leicestershire, and sits within our internal Operations department, who are responsible for managing the transport logistics throughout the business.

What will the role entail? Working as our Transport Coordinator, you can expect the following to be your main duties & responsibilities:

  • Ensure the daily scheduled transport plan is achieved economically and meeting all SLA targets.
  • Ensure all drivers receive their driver packs which includes work tickets, keys, fuel cards and maps to ensure the vehicles leave site and reach the destination smoothly.
  • Escalate vehicle defects to the Transport Management Team/Engineering.
  • Effective management and planning of drivers through ongoing communication and using our state-of-the-art transport software, ensuring a consistent 2 week lookahead is planned and visible.
  • Controlling and planning an agreed amount of resource (vehicles, drivers, trailers); ensuring all legal requirements are adhered to (Working Time Directive and EU drivers' hours regulations).
  • To ensure the daily plan is completed in real time, managing resources effectively, maximising utilisation whilst minimising cost.
  • Ensure that our internal tracking systems are kept organised and updated to an exceptional standard.
  • Make regular use of in-house systems to manage workload and monitor efficiency.
  • Understanding and achieving key performance targets relating to the safety and efficiency of our fleet (including utilisation and costing).
  • Regularly communicate with our customer service teams and drivers to ensure customer KPIs and targets are achieved and maintained.
  • Assisting the Operations Manager as necessary.
  • Day to day scheduling and routing of Coaches and Buses.
  • Carrying out various vehicle and driver compliance checks.
  • Downloading vehicle tachographs units, monitoring driver's hours.
  • Assisting with vehicle and driver compliance tasks.
  • Resolving customer complaints.
  • Be able to comfortably organise your own workload and will be able to work in a high pressure environment to meet key deadlines.
  • Be able to interpret good geographical knowledge.
  • Flexibility to cover weekend working and early starts/late finishes on a rota basis or as and when required.

A little bit about you:

  • At least 2 years’ experience in a transport or logistics role.
  • Good geographical knowledge would be advantageous.
  • Resilient when under pressure and able to react and adapt quickly to proactively seek solutions.
  • Excellent communication skills with the ability to liaise effectively with all key stakeholders.
  • Strong verbal and written communication skills are essential.
  • You should be PC literate, with a working knowledge of Microsoft Excel and Word in particular.
  • A proactive, hands-on approach, able to take instruction and direction with a focus on results.
  • High attention to detail and a commitment to delivering high-quality work.
  • Knowledge of the transport industry and regulatory compliance is beneficial.
