Due to huge growth, we are seeking a Procurement and Inventory Co-Ordinator to join our fantastic team. As our Procurement Co-Ordinator you will manage inventories, placing and progressing orders and ensuring that material resources are consistent with production schedules using our Radius system. You will work closely with suppliers, internal teams and other stakeholders to facilitate smooth procurement processes, ensure timely order fulfilment and support customer requirements while ensuring the appropriate supply of cost-efficient and high-quality materials required to maintain steady production and product delivery. Your role is vital to maintain the flow of materials and ensuring that purchasing operations meet the needs of our sales and operational teams.
This is a fully on-site role with hours of work Mon- Thurs 8.45am – 5pm / Fri 8.45am – 4:30pm with 1 hour lunch.
Core Duties/Responsibilities
- Monitor stock levels in line with parameters established by the Purchasing Manager, ensuring timely replenishment of goods.
- Identify potential stock shortages and take appropriate action to avoid disruptions to production and sales.
- Manage inventory issues, schedule changes and cancellations.
- Track production volume and monitor customer demand patterns and purchasing trends.
- Place purchase orders with suppliers for goods required, ensuring that all order details are accurately captured in the Radius system.
- Progress orders through the system, ensuring that suppliers are fulfilling orders as per agreed terms, and providing updates as needed.
- Ensure materials meet specifications, quality standards and are cost-efficient.
- Purchasing a range of general consumables across the factory (adhesives, solvents, cores, workwear and stationery).
- Assist suppliers with any queries they may have regarding placed orders.
- Work collaboratively with other teams to find solutions and resolve any issues promptly.
- Review order acknowledgements from suppliers to ensure that they match the requirements specified in the purchase orders (POs).
- Address any discrepancies between the order acknowledgements and the POs in a timely manner.
- Monitor the progress of existing orders and prioritise them based on urgency and agreed lead times, ensuring that critical orders are expedited when necessary.
- Maintain communication with suppliers to ensure adherence to schedules and resolve any delays promptly.
- Schedule and oversee the supply and delivery of materials and products.
- Assist the Sales team with pricing information, lead times, and availability of parts needed for customer orders.
- Provide accurate and timely information to assist in customer quotations and order fulfilment.
- Ensure that the Radius system accurately reflects due dates for the arrival of Purchase Orders (POs), keeping internal teams informed of expected delivery timelines.
- Regularly update system records to maintain accuracy in stock levels, order statuses, and expected arrival dates.
- Expedite orders where necessary to ensure on-time delivery to customers, collaborating with suppliers and internal teams to resolve any supply chain issues.
- Take appropriate action to mitigate delays and prevent disruption to customer commitments.
- Proactively communicate with the Sales team regarding any delays or issues with incoming goods that may affect the promised delivery dates to customers.
- Keep the Sales team updated on the status of orders to facilitate smooth customer communication.
- Checking/Issuing correct documentation for the Production plan.
