As Finance & Administration Lead, you will be responsible for managing the company's day-to-day financial operations, ensuring accurate reporting, maintaining healthy cash flow, and supporting strategic decision-making. Working closely with the Director, you will oversee bookkeeping, credit control, forecasting, VAT compliance, and financial reporting while acting as a key contact for external partners, including banks, accountants, and finance providers.
Key Responsibilities- Manage daily cash flow, including forecasting incoming and outgoing payments
- Support financial planning, forecasting, and business strategy alongside the Director
- Monitor budgets, debt trackers, and HMRC obligations
- Schedule supplier payments and maintain strong creditor relationships
- Lead weekly credit control activities, including reporting, payment chasing, and account reconciliations
- Liaise with banks and external finance partners regarding invoice facilities and payment processes
- Reconcile accounts and maintain accurate financial records within Xero
- Raise invoices, process supplier bills, issue credits, and ensure correct financial coding
- Prepare and submit VAT returns in line with Making Tax Digital requirements
- Support quarterly management accounts and year-end processes with external accountants
- Produce sales, customer, product, and profitability reports
- Maintain organised finance records and documentation
You will be an experienced finance professional who is comfortable managing a broad finance workload independently while maintaining excellent attention to detail. The ideal candidate will have:
- Strong experience in finance administration, bookkeeping, or finance management
- Advanced knowledge of Xero accounting software
- Experience with invoicing, reconciliations, credit control, and supplier payments
- Good understanding of VAT regulations and UK financial compliance requirements
- Excellent organisational and time-management skills
- Strong numerical and analytical abilities
- Confidence communicating with suppliers, customers, banks, and external stakeholders
- High levels of accuracy and attention to detail
- A proactive and positive approach to problem-solving
- Experience with Shopify Trade, Inflow, or similar systems would be advantageous
