Key Responsibilities
- Manage the day-to-day operations of the office, ensuring a professional and efficient working environment.
- Coordinate onboarding and offboarding processes for employees and contractors.
- Arrange desk allocations, access passes, equipment setup, and induction activities.
- Act as the main point of contact for office facilities, maintenance providers, landlords, and external suppliers.
- Oversee office supplies, stationery, kitchen provisions, and general workplace requirements.
- Coordinate travel bookings, meeting arrangements, and expense processing where required.
- Support the organisation of internal events, team activities, and company-wide initiatives.
- Welcome visitors and ensure meeting rooms are prepared and running smoothly.
- Process invoices, maintain supplier records, and support budget administration activities.
- Assist with health & safety, workplace policies, and general office compliance requirements.
- Provide ad hoc administrative support to senior stakeholders and wider business teams as required.
- Handle employee requests and contribute to a positive workplace culture.
Requirements
- 3-5 years' experience in an Office Coordinator or Office Management role within financial services.
- Strong understanding of office administration and workplace operations.
- Excellent organisational skills with the ability to manage multiple priorities simultaneously.
- Professional communication and stakeholder management skills.
- Experience liaising with suppliers, facilities providers, and external vendors.
- Proactive approach with the ability to work independently and use initiative.
- Strong Microsoft Office skills, including Outlook, Word, Excel, and Power Point.
- Experience supporting a professional or corporate services environment.
Desirable
