Robert Half is proud to be partnering with a highly regarded international financial services organisation in the search for an Administration Supervisor to join their London office. This is a fantastic opportunity for an experienced administration professional looking to step into a broad, highly visible leadership role, managing a small team whilst supporting senior stakeholders across the business. You'll sit at the heart of the organisation, overseeing executive support, vendor management, governance, office operations and events, all within a collaborative and people-focused culture.

The Role

Reporting to the Admin & Projects Manager, you'll act as the second-in-command within the administration function, managing two Administration Assistants and ensuring the smooth running of day-to-day operations across the London office. Key responsibilities include:

  • Managing, mentoring and developing a team of Administration Assistants
  • Providing executive support to senior leadership and international stakeholders
  • Overseeing vendor management, governance processes, contracts and approvals
  • Coordinating internal and external events
  • Supporting office operations and facilities activity
  • Producing reports and management information for senior stakeholders
  • Driving process improvements and maintaining high operational standards
  • Building strong relationships across the business and acting as a key point of contact for administrative support

About You

They're looking for someone who is:

  • An experienced Administration Supervisor, Team Lead, Office Manager or Senior Executive Assistant
  • Comfortable managing people and allocating work across a team
  • Experienced in corporate, professional services, banking or other highly regulated environments
  • Confident working with senior executives and stakeholders
  • Highly organised, detail-oriented and able to manage multiple priorities
  • Experienced in vendor management, governance and operational controls
  • Calm, professional and solutions-focused under pressure
  • Happy rolling up their sleeves and leading from the front
  • Portuguese speaker is a nice-to-have but not essential
