Enterprise Front of House Co Ordinator – London
Robert Half is seeking an experienced, motivated Front of House / Receptionist. This role will manage the shared reception and meeting room space for both Robert Half and our sister management consulting firm Protiviti, providing additional support around facilities, events and general administrative support.
RESPONSIBILITIES
Based 5 days a week in our flagship office in The Shard, duties will include:
- Act as the primary point of contact and meet and greet for all visitors.
- Ownership of the shared enterprise Reception area, Meeting Suite and kitchen.
- Management & review of meeting room bookings and schedule.
- Co-ordination and management of all logistics for pre and post meetings and events – room set up, AV, refreshments, equipment etc.
- Raise all internal tickets for facility related issues and work with corporate team to resolve maintenance issues applicable to the Meeting Suite.
- Health & Safety POC – implement and enforce health and safety procedures to reduce the risks of workplace hazard.
- Ensuring the Meeting Suite is fully functioning and ready to use at all times (All Shared Meeting Rooms / Kitchen).
- Liaising with internal Technology department for all IT needs and requirements for Meeting Suite.
- Committed to driving and supporting ESG activities for our Head Office/s.
- Oversee and manage incoming and outgoing deliveries to the office (Post, laptops, catering, supplies etc).
- Ordering of catering for external meetings within set budgets.
- Purchase Orders for Enterprise costs (raising and processing).
- Organising internal social events in partnership with social committees.
- Day to day office duties to include auditing and purchasing of all office supplies (Stationery/cereal/fruit/milk/coffee etc.).
- POC and partner with the Shard Management Operations team – H&S requirements, facilities/building issues, Fire evacuations etc.
- Work closely with external cleaning provider to ensure high level of service and standards – organising additional support for events as and when required.
- Responsible for contributing implementing and driving office policies by setting up procedures and standards to guide the operation of the office i.e. clear desk and screen policy.
- Demonstrate a commitment to and have a deep knowledge of new technology including all Microsoft packages and internal programs such as Workday and Connect
EXPERIENCE & KEY SKILLS
- Demonstrable experience in a front of house, customer facing capacity in a fast paced and professional environment.
- Exceptional customer service skills, demonstrating that the customer is always at the centre of what you do.
- Solution focused with the ability to multitask and deal with competing deadlines / priorities.
- Possess excellent oral and written skills with an ability to communicate with clients, candidates, and colleagues at all levels.
- Ability to learn new systems and technology quickly and proactively.
