Robert Half has partnered with a major media company to look for an Executive Assistant & Producer to support two senior leaders. This role offers a dynamic blend of traditional executive assistant duties alongside responsibilities in event planning, content production, and strategic coordination for global clients. Key Responsibilities:- Provide high-level administrative support, including calendar management, scheduling meetings, and coordinating travel arrangements.
- Manage and prioritise the executive’s emails, correspondence, and phone calls, ensuring timely responses and appropriate follow-up.
- Maintain a high level of professionalism and discretion in handling sensitive and confidential information.
- Communicate with senior client team leads to schedule meetings, workshops, follow-ups, and events.
- Support the organisation of client entertainment and engagement activities.
- Collaborate closely with the Global Client Lead (GCL) on business planning, reporting, Salesforce admin, presentation development, and client organization mapping.
- Assist in the planning, coordination, and execution of events, including vendor sourcing, catering, and finance management.
- Coordinate logistics during events, including setup, registration, audiovisual needs, and guest assistance.
- Act as a content producer, managing production logistics and teams for video shoots.
- Conduct research on agency communications, reports, announcements, and thought leadership, analysing their relevance.
- Edit agency content to align with company guidelines and publish on the internal platform.
- Organise leadership briefings on client updates, RFIs/RFPs, and strategic initiatives.
- Support global strategic workshop sessions in collaboration with internal teams and client teams.
- Draft weekly client press updates for top clients.
- Assist GCL with commercial administration across internal agencies and client procurement.
- Develop client playbooks to assist in onboarding internal agencies into global client teams.
- Support GCL with centralised reporting for client submissions (workforce surveys, procurement reviews, etc.).
- Assist in client event preparation and logistics.
- Essential: Experience working in a creative sector and/or agency environment.
- Expertise in managing logistics and the supply chain from end to end.
- Strong writing skills, particularly in creative content development and press release drafting.
- Proficient in managing external relations and communications.
- Highly proficient in Photoshop, Keynote, and PowerPoint.
- Strong CRM skills.
- Desirable but not necessary: Prince 2 certification in Project Management.
- Experience in recruitment and talent management.
- Expertise in drafting client playbooks.
- Experience in managing and developing surveys.
