Job Description

Robert Gordon's College is a thriving independent school dedicated to providing an outstanding education in a safe and supportive environment. We are seeking a Sports Administrator to join our team. This is a crucial role responsible for managing administrative support to the PE and Sports departments and ensuring specific aspects of the department run efficiently, allowing coaches to focus on teaching. This position can be full-time or part-time with exact working days/hours to be discussed and agreed with the successful applicant.  This is a term-time post.

Key tasks of the position include:

  • Management of Curricular and Co-Curricular Transport & Logistics, specifically co-ordinating bus bookings from all sports, determining transport requirements based on sports registers and co-curricular clubs, sourcing and allocating staff to buses, being the main point of contact for bus companies, maintaining accurate spreadsheets and invoice reconciliation;
  • Management of External Venues, specifically ensuring timely bookings annually, being the main point of contact for external venues, and managing long-term and ad-hoc bookings for all sports;
  • General administrative support to the Head of Physical Education and the Director of Sport, as required;
  • RGC Sport Social Media, specifically regularly updating all RGC Sport social media;
  • Support for International Sports Tours, specifically assisting the Director of Sport in planning and preparing for international tours, and being the main point of contact for tour companies;
  • Annual Sports Team Photographs, specifically organising the timetable avoiding clashes with other events, informing staff, parents and pupils of the arrangements, and liaising with the photographers.

The successful candidate will have excellent interpersonal, communication and organisational skills, excellent prioritisation and multi-tasking skills, be flexible and adaptable and a high IT proficiency.
