About the role

We’re looking for someone who is warm, reliable, and highly organised, with strong communication skills and the ability to manage multiple tasks in a fast-paced environment. This is a full time office based role. You should bring a proactive approach, good attention to detail, and a commitment to delivering an excellent experience for colleagues and visitors. A collaborative mindset and a positive, professional manner are essential.

Duties:

  • Greet and assist visitors and internal clients in a warm, professional manner.
  • Answer and direct incoming calls promptly and accurately, ensuring clear and detailed messages are recorded and passed on appropriately.
  • Manage the reception inbox, ensuring timely and professional responses.
  • Oversee meeting room bookings and ensure rooms are prepared and presentable.
  • Organise catering for meetings, training sessions, and events.
  • Maintain a clean, organised, and welcoming reception area.
  • Receive and distribute mail and deliveries, including arranging couriers.
  • Carry out general reception administration including filing, data entry, and preparing documents.
  • Liaise with building management and suppliers, including coordinating maintenance call-outs.
  • Handle confidential information with integrity and discretion.
  • Support staff onboarding/offboarding (e.g., issuing fobs, locker keys, building access app).
  • Monitor and order office supplies, stationery, groceries, furniture, and equipment.
  • Book local transport when required.
  • Assist with photocopying, scanning, and binding.
  • Support company events, including working with Social, EDI, and CSR committees.
  • Complete PPE requests and maintain the PPE Site Equipment Register.
  • Collaborate with Team Administrators and Executive Assistants for seamless administrative support.
  • Ensure reception cover during planned absences and breaks.
  • Assist in preparing and serving food/beverages for meetings and events.
  • Keep kitchen and catering areas clean, organised, and well-stocked.
  • Assist with setup and clear-down of catering events.
  • Follow hygiene and food-safety regulations.

What we are looking for?

  • Experience in a front-of-house, reception, or administrative role.
  • Strong verbal and written communication skills.
  • Confident using MS Office and general office software.
  • Good organisational and time-management skills.
  • Proven ability to provide professional customer service.
  • Comfortable handling confidential information.
  • Experience supporting meetings or events (desirable).
