About the Role

Are you a highly-organised multitasker with a knack for logistics? We look for an Estates Admin & Transport Coordinator to become the operational heartbeat of our Estates department. This pivotal role keeps our campuses running smoothly, our fleet moving safely, and our administrative systems beyond reproach. You will be the primary point of contact for the Estates Department, liaising with internal staff, students, external contractors and emergency services. You will provide vital support to the Director and the wider Estates team, ensuring seamless communication across all three of our main campuses.

Key Responsibilities

  • Transport & Fleet Management
    • Lead the Journey: Manage the minibus booking calendar and scheduling.
    • People Management: Directly line manage college drivers, oversee rotas, route planning, and training.
    • Compliance Expert: Ensure our vehicle fleet is road-legal and manage tax, insurance, MOT, and servicing.
    • Problem Solver: Act as first responder for transport-related issues, including delays or accidents.
  • Departmental Administration & Finance
    • Procurement Pro: Order supplies and PPE for the Group, ensuring value for money and strict procurement procedures.
    • Financial Accuracy: Process invoices, purchase orders and manage service contracts; track remedial works and insurance records.
    • Systems Specialist: Primary admin user for CAFM/CRM system, provide training and monitor compliance.
  • Safety & Compliance
    • Emergency Response: Maintain radio communication; key role in emergency responses including fire evacuations and directing emergency services.
    • Records Management: Maintain compliance records (COSHH, risk assessments, equipment registers).
    • Mentorship: Line manage the Estates Admin Apprentice, helping develop talent.

What You’ll Need

  • Previous experience within an estates/facilities environment with strong administration skills.
  • Ability to work to regulations and compliance, and maintain accurate record-keeping and system databases.
  • Working across three sites requires building relationships and clear communication with diverse teams.
  • Experience in supervision and supporting colleagues in managing workloads.
  • Level 2 (or equivalent) qualification in English and Maths (or willing to undertake).
  • Desirable qualifications: business administration, customer service, IT systems.
  • Proficiency in Microsoft/Google office suites and online systems.

Department Info

The role reports to the Director of Estates, Security and Health & Safety. You will line-manage the Estates Admin Apprentice and work closely with colleagues within Estates, including Campus Managers, Security & Pastoral Officers, and Caretakers. You will liaise with staff across the Group and external suppliers.
