A new vacancy is now live within the RKW Ltd Purchasing division as we are looking to add an Administrator to focus on our Imported stock and commodities. We would love to hear from administratively focused individuals who have a working knowledge of purchase orders, ideally with a background in Procurement or Import, managing the end-to-end process of Orders from a range of suppliers. Experience of international purchasing would be beneficial but isn’t a must.

Responsibilities and Duties

  • The role of the Import Purchasing Administrator is to work as part of the purchasing department by managing a set of purchase orders through production until shipment in the Far East.
  • Working with direction from the Senior Purchasing Manager and supervisor, the role primarily will be data administration, raising orders and liaising with suppliers through our China office.
  • Working for some of the fastest growing brands in the UK and dealing with customers and suppliers on a global basis.

Specific areas of Responsibility

  • Raising and management of purchase orders to suppliers.
  • Using relevant reports and information to ensure requirements are followed.
  • Documentation Administration.
  • Working closely with related buyers.
  • Managing system dates, ensuring accuracy at all times.
  • Updating and maintaining Navision data, especially in relation to item/vendor cards and purchase order information.
  • Liaising with Accounts to ensure deposits/balance payments meet deadlines for shipments.
  • Liaising with Suppliers, Buyers and Factories in the Far East and Worldwide.
  • Chasing and handling of product samples and tracking.
  • Liaising with China Office in relation to purchase orders, sales confirmations, amendment and product information.
  • Checking of Inspection reports, sales confirmations and requirements etc.
  • Assisting with any enquiries from other departments, sales team, QA etc.
  • General support to the Buying Team and Purchasing Department.
  • Costing of Stock orders.
  • Any other responsibilities that may be required in relation to your job role.

  • Ability to work within a fast paced and demanding supply chain environment.
  • Excellent communication and negotiation skills (including verbal and written).
  • The ability to remain highly organized, prioritise and take ownership of work, a completer-finisher.
  • Ability to build strong internal and external relationships to support the overall business strategy.
  • Ability to work independently/on own initiative.
  • Ability to remain calm under pressure.
  • A team player bringing positive energy and enthusiasm to the team.
  • Excellent attention to detail and administration skills.
  • Computer literate with good knowledge of Microsoft packages.
