A family office established by two prominent tech founders is seeking an Executive Assistant to support the executive team. Based in our London office, this role provides administrative assistance to the family office team across investments, legal, operations, and finance, while also coordinating the day-to-day management of the office. The successful candidate will act as a key organisational anchor for the team, ensuring seamless operations, excellent communication flow, and high standards across the family office.
Key Responsibilities:
- Provide high-quality executive support to the family office team, including scheduling and meeting coordination (internally and with external guests).
- Act as a key point of contact between senior team members, internal teams, and external stakeholders.
- Arrange domestic and international travel, including itineraries, logistics, and visa applications where required.
- Process expenses and maintain accurate records.
- Maintain well-organised systems for documentation, contacts, and information flow.
- Provide general administrative support as needed, including printing, scanning and photocopying.
- Handle sensitive and confidential information with the highest level of discretion.
- Act as the first point of contact for guests: liaise with building security and greet visitors on arrival.
- Answer, screen, and manage incoming phone calls and post.
- Oversee office supplies and day-to-day office needs.
- Organise team events and activities.
- Manage relationships with external office vendors (e.g. cleaning, laundry, facilities support).
- Review and process invoices from external service providers.
Experience & Profile:
- 2-5 years' experience in an Executive Assistant or office support role, ideally within a family office, professional services, financial services, or similarly fast-paced environment.
- Proven ability to manage multiple priorities, deadlines, and stakeholders calmly and effectively.
- Confident supporting senior executives.
- Strong organisational skills with excellent attention to detail.
- High level of technical confidence, including calendar management, document handling, and collaboration tools.
- Comfortable taking ownership of day-to-day responsibilities.
- Team-oriented, flexible, and committed to high standards.
