In this role, you will be responsible for providing administrative support to the UK Chief Claims Officer and Associate Claims Directors, supporting the wider Claims division including the Claims Hub and Delegated Authority teams. You will coordinate day to day administrative activities, manage schedules and communications, and ensure the efficient running of processes across the teams.

Responsibilities
  • At the direction of the Chief Claims Officer and in support of the Associate Claims Directors to provide professional administrative support across the claims division.
  • Taking minutes for Syndicate and Company claims and operational control meetings, including the exploration and use of co-pilot to streamline meeting reporting.
  • Production and collation of weekly movements reporting with accurate filing and retrieval of reports in support of the objectives of the department.
  • Ensure data is controlled in line with relevant regulatory obligations.
  • Produce weekly and monthly MI to assist management in preparation for meetings including from the line by line reports and in respect of control reporting for diaries, tasks and other control metrics.
  • Responsibility for room booking/co-ordinating Audit/Claims Reviews to ensure all selected files are readily available in correct format and appropriate IT facilities are in place.
  • To assist in refining the cash flow and expected movements process into the hub and operational processes.
  • Management of the email and calendar systems for the named roles above.
  • Responsibility for organising and managing internal and external meetings, lunches, travel, accommodation and venues with the assistance of the EA to COO and Events Manager as required.
  • Supporting the Group CEO’s Personal Assistant if unavailable for the Underwriting weekly meeting.
  • Producing expense claims on behalf of the named roles above.
  • To carry out ad hoc projects and work across departments as and when required.
  • To effectively vet and direct incoming phone calls.
  • Managing daily incoming and outgoing correspondence.
  • Ensuring both paper and electronic filing is up to date and maintain archive/filing log.
  • Be proactive and look to improve administration systems/communication where possible.
  • On a temporary or permanent basis, you may be required to undertake other duties in addition to, or in substitution of, those listed in this role profile.
Requirements
  • Previous experience as an Office Administrator, Archivist, Librarian or Personal Assistant.
  • Advanced use of Microsoft Office 365 (Word, PowerPoint, Excel, Outlook); Shorthand/audio or copy typing (desirable); Financial services or insurance sector experience (desirable).
  • Planning and organisation, excellent communication (written/verbal), diplomacy, accuracy and attention to detail, decision making, time management, confidentiality, IT skills, analysis, and negotiation.
