The difference you will make
You will be responsible for planning the schedule of operatives within the Property Services Operations. You will ensure the provision of effective and efficient administration surrounding the repairs, services, compliance works and other technical projects. You will support your team leaders, managers and operational teams to achieve KPI’s. Although you may predominantly cover one area, you may be asked to support/cover other areas as the business needs.

Role Responsibilities
- Responsible for an effective administration contribution to enable work to be carried out in a timely and compliant manner.
- Work as part of a high performing team and ensure your actions support the team’s success.
- Answer phones, emails, CRM cases, schedule appointments and input data into the system.
- Maintain all tasks including raising jobs, requisitions, follow-on works, subcontractor works; ensure records are up to date (job details, appointments, statuses, times, dates, costs).
- Ensure operatives are working efficiently and workload is maintained in line with WIPs (Works in progress).
- Phone residents to gain access for works.
- Work with emergency appointments and resolve scheduling conflicts.
- Ensure subcontractors complete jobs on time and submit paperwork for supervisor review and contractor payment.
- Escalate issues to the relevant surveyor/manager.
- Maintain a first-time-fix approach and assist operatives/supervisors/surveyors.
- Assist in investigations of complaints and expressions of dissatisfaction with the service.
- Maintain the team inbox and CRM cases; update the system with relevant information.
- Carry out other administrative duties to support Property Services and liaise with other departments as necessary.
- Any other reasonable duties to support service delivery.
