Overview: Support in the delivery of the Group's framework for building safety and compliance data integrity and quality to ensure all group properties, risks, legal & policy requirements, monitoring data and workflows within our systems are accurate and effective. Ensure our systems accurately reflect legal requirements, compliance status and hold appropriate records and evidence. Support transitional and delivery teams to ensure all data, documents etc. are accurately recorded. Provide training and support to colleagues on systems, processes and data integrity.
Responsibilities:
- Implement the Group's framework for Building Safety & compliance data integrity and quality, ensuring effective implementation and communication to key stakeholders and monitoring compliance to maintain data accuracy and consistency.
- Collaborate with key stakeholders to continuously review and identify data weaknesses in relevant systems, including mechanisms for improvement, ensuring data quality reporting remains integral to the reporting process within the wider team.
- Coordinate a planned program of 'Duty of Care' surveys to ensure effective risk & asset data collection, ensuring information is received within appropriate timescales and records are updated accordingly.
- Manage the Group's Compliance database, ensuring records are maintained and effective analysis is carried out for repairs, maintenance, compliance, and investment planning purposes.
- Undertake analysis on the integrity and quality of data retained in relation to building safety & compliance, supporting data audits, identifying, and addressing data quality issues.
- Support internal and external stakeholders effectively by providing guidance, advice, and training on system configuration, use, and data integrity.
- Develop understanding and support the configuration and development of the Compliance register systems (Promaster/C365), develop guidance documents and deliver training on standard ways of working.
- Document the presence of compliance risks, specialist equipment, and assignment of compliance status, managing the active status of all compliance requirements.
- Support assessments and reviews of lease, tenancy & license agreements to determine & document legal/compliance requirements and risk ownership.
- Assess new build, acquisitions and disposal data information and records on update our systems to ensure appropriate data, certification and records are obtained and recorded within our systems in a timely manner.
- Support interfaces with supply chain with compliance system and OCR, extraction templates, working with colleagues in compliance teams to determine business requirements and work through system requirements.
- Check exception reporting accuracy working with Business Information team and support analysis.
- Support Senior Assurance Officer and business assurance team in assurance testing of data and system operation.
Essential Qualifications:
- Ability to interpret business requirements using a variety of data and experience of analysis of data in the provision of meaningful intelligence.
- Understanding of IT systems, design, configuration, and ways of working.
- Knowledge of computerized Housing Management and Financial Accounting Systems and Asset Management / Compliance.
- Good written and verbal communication skills.
- Good IT skills, knowledge of Microsoft Office suite, including Excel (Pivot tables, charts etc.).
- Ability to assess impact of introducing business change and document outcome following implementation.
- Understanding of IT systems, ways of working and business processes within the building safety department or housing/health and safety sector.
- Excellent team player who can work flexibly to meet business requirements.
- Excellent attention to detail with the ability to work accurately under pressure, deliver to strict deadlines and manage conflicting priorities.
- Customer focused with excellent written and verbal communication skills, with the ability to work at all levels within the business.
Desirable Qualifications:
- Knowledge of interpreting leases, legal agreements, service charge deeds, terms of transfer and tenancy agreements.
- Ability to review outcomes of business assurance checks and understand risk and how to mitigate risks through appropriate controls and implementation of ways of working.
- Experience of developing improvement plans, providing oversight reports and monitoring and reporting outcomes.
- Understanding of transforming manual systems to IT enabled solutions to improve efficiency and effectiveness.
- Knowledge of social housing, property / BS / compliance, Quality Assurance.
