The Facilities Management Assistant supports front‑of‑house reception across variable locations and works with the Contract and Facilities Officer to deliver an efficient facilities and property management service. Key duties include reception, administrative tasks compliance, and stakeholder liaison.
About You – Experience & Skills
- Experience in a busy customer‑facing Facilities Management environment.
- Knowledge of Health and Safety principles.
- Experience working with contractors within Facilities Management.
- Proficient use of Microsoft 365.
- Excellent communication skills, both verbal and written.
- Strong organisational and time‑management abilities.
- Team player, able to work flexibly to meet business requirements.

Role Profile – Responsibilities
- Administer support for Contract and Facilities Officer, including specialist contract management.
- Deal with staff, contractors, and tenants requiring property keys and access.
- Provide clear, supportive advice on Facilities Management procedures, escalating issues and complaints.
- Open and process all incoming post.
- Manage reception desk, handling general tenant queries.
- Maintain Facilities Management records, including health & safety documentation, first aiders, fire marshals.
- Support process improvement initiatives.
- Build effective relationships with internal and external stakeholders, escalating when necessary.
- Ensure adherence to internal business processes and continuous improvement of procedures.
- Respond flexibly to changing priorities and assist with additional duties as needed.
- Ensure compliance with data protection and health & safety policies.
- Manage local access control and ID badge systems in line with FM policy.
Person Specification – Essential
- Experience in a busy customer‑facing Facilities Management environment.
- Knowledge of Health and Safety principles.
- Contractor management experience within Facilities Management.
- Proficiency with Microsoft 365.
- Customer‑focused, with excellent verbal and written communication.
- Results oriented, able to take ownership of tasks.
- Strong attention to detail and ability to work under pressure.
- Team player, flexible to meet business requirements.

- Previous experience in a Housing Association or residential environment.
