Overview
Riverside Family Practice is looking to recruit a caring, organised and enthusiastic individual to join our practice team.
Role Summary
- Receive, assist and direct patients to the appropriate service or healthcare professional in a courteous, efficient and effective way.
- Project a positive, friendly and compassionate image to patients and other visitors, either in person or via telephone.
- Provide efficient, helpful, informative and supportive reception and administration services to patients and the primary health care team.
Main Duties & Responsibilities
- Ensure an effective reception service for patients and visitors.
- Handle general enquiries, explain procedures and make new and follow‑up appointments.
- Use judgement to manage urgent consultations for walk‑in patients.
- Explain practice arrangements and formal requirements to new and temporary patients.
- Answer and divert telephone calls, take accurate messages and provide prompt delivery.
- Enter requests for home visits, recording all details and referring to the on‑call doctor when necessary.
- Action repeat prescription requests and ensure they are ready for collection by patients within 48 hours, in line with practice protocol.
- Complete administrative tasks and paperwork from the team.
- Advise patients of relevant charges for private services, accept payment and issue receipts.
- Enter patient information into the computer system.
- Prepare clinical rooms for surgeries, supply prescription forms, record serial numbers and ensure adequate consumable supplies.
- Open premises at the start of the day and perform necessary preparations.
- Secure the practice at the end of the day, ensuring confidential items are protected and internal lights are off.
- Cover colleagues’ holiday and sickness absences as required.
- Process incoming and outgoing mail/correspondence according to practice protocols.
- Record actions taken in patient records where appropriate.
- Complete other daily, weekly and monthly core tasks to support smooth reception operations.
- Adhere to and uphold confidentiality, safeguarding, health and safety, equality and diversity policies, and infection control procedures.
- Act as a chaperone when requested by a clinician, in accordance with the chaperone policy.
Experience
- Experience working in a public reception environment.
- Experience with Microsoft Office software.
- Experience dealing with the public/patients.
- Experience with EMIS Web.
- Experience operating a telephone switchboard.
- Experience with computerised clinical systems.
Qualifications
- English GCSE Level C or equivalent.
- Demonstrable commitment to professional development.
