About the role
The Centre/Training Coordinator will be responsible for the day-to-day office management of this Training Facility. They will also be responsible for recruitment of learners, financial claims, quality compliance and general office management duties.
The ideal candidate will have proven experience of office management, preferably within a training environment, have knowledge of awarding body and funding requirements as well as excellent communication skills to maintain links with stakeholders.
Duties will include but are not limited to:
- Recruit learners onto the programme which will include attending career events
- Maintain links with employers
- Inputting data onto funding body systems
- Maintaining financial claims
- Organise training timetables including private training courses
- To liaise with Essential Skills tutors and provide monthly progress reports to the Managing Director
- To coordinate all ETI and DfE inspection processes
- Ability to purchase materials and consumables for general office use
- Facilitates organisational level problem solving and ensures escalated risks/issues are resolved.
- Oversee Safeguarding practices
- Provide pastoral care support
- Support the Managing Director and offer mentoring, coaching and leadership when dealing with business and operational matters.
- To promote external business for expanding vocational routes
- To internally verify all essential skills portfolios
- To provide coordinate written communications relating by means of weekly reports to all apprentices in training
- To communicate with training staff on apprentice attendance and report issues of non-attendance
- To coordinate attendance records and ensure employers are promptly informed
- Any other suitable duty required within the general coordination of the centre.
Essential Criteria
- Level 3 qualification within relevant subject area (Learning and Development, Leadership, Management etc)
- At least 2 year’s experience within the last 5 years of managing an office environment
- Ability to use Microsoft Office packages, including Word, Excel and PowerPoint.
- A positive and enthusiastic approach.
- Ability to listen and support apprentices during their training.
- A full, clean driving licence held for a minimum of one year.
- High levels of organisation and attention to detail.
- Flexibility, as travel to apprenticeship workplaces throughout Northern Ireland if and when required.
Applicants will also be required to carry out an Enhanced AccessNI check prior to the post being offered.
