Overview
The Sample & Asset Coordinator plays a key role in supporting the efficient movement of products through the e-commerce studio process from sample handover to asset output. This position ensures that product samples are tracked, prioritised, and managed through photography, retouching, and uploading phases. Acting as a central point of communication between studio, retouch, and buying teams, the Sample & Asset Coordinator is responsible for maintaining daily workflow, addressing delays, and ensuring products go live within agreed timeframes.
Responsibilities
- Manage the daily flow of all product lines through the in-house studio.
- Track product status throughout the studio pipeline, ensuring timely handovers between teams.
- Monitor and escalate urgent product needs to ensure priority handling.
- Create and distribute daily priority lists for the retouching function based on recently shot products.
- Provide daily reports on product progression – shot, retouched, uploaded, and live – to internal stakeholders.
- Liaise with buying teams to locate or request samples for upcoming shoots.
- Conduct daily checks on product availability and escalate missing or delayed items.
- Facilitate the return of product samples to the buying team post-shoot.
- Support other studio areas when needed to meet online readiness and sales goals.
Qualifications
- Proficient with Microsoft PowerPoint, Excel, and Word.
- Highly organised with the ability to manage and track high volumes of product samples.
- Strong communication and collaboration skills; confident engaging with cross-functional teams.
- Able to thrive in a fast-paced, high-volume work environment.
- Proactive and adaptable team player within an e-commerce studio setting.
