An exciting opportunity has arisen within our Commercial department for a Commercial Coordinator to join the team based in Leeds on a permanent basis. The Commercial Coordinator is responsible for consolidating all project costs from all stakeholders into project quotes and invoices on a weekly basis.

Key Areas of Responsibility:

  • Raising invoices for all clients in accordance with the relevant customers process to ensure accurate pricing has been applied before submission and recorded on the internal system.
  • Fulfilling the requirements of the ASDA commercial consolidation service – handling invoices from external agencies and checking them against the client’s price matrix, raising any discrepancies with the agency, consolidation of the projects costs and invoicing back into ASDA.
  • Working alongside the Commercial Manager to identify and implement working capital reduction in line with company expectations, i.e. Debtor Days, WIP and other improvement initiatives.
  • Establishing relationship management by communicating externally and internally via e-mail and sharing information with relevant parties involved throughout the invoicing process.
  • Providing support to the Commercial Manager in carrying out any other duties as agreed.
  • Checking every invoice received in accordance with the relevant client’s procedures & pricing structure, collating any extra information/documents as required.
  • Ensuring accurate allocation of charges to the relevant stakeholders is applied to all jobs before submission of the weekly invoice.
  • Chasing queries and obtaining permission from relevant parties to charge certain costs carried out on projects.
  • Updating the relevant system with job status changes at each stage to ensure accuracy of WIP (sales) reporting.
  • Delivering invoice estimates to clients right first time for content and formatting.
  • Resolving any queries promptly, ensuring any changes to invoice amounts are accurately documented.
  • Supporting the Commercial Manager in monitoring daily/weekly/monthly sales reported or production of reports requested by the client.
