Responsibilities
Under the direction of the Board of Directors and working with the Artistic Director, provide administrative management for the theatre’s artistic growth and long-term sustainability.
Business Administration
- Work with the Artistic Director (AD) and Board to prepare strategies and financial plans for the theatre’s artistic growth.
- Manage and oversee all administrative functions including payroll, purchasing and payments, ticket sales, bookkeeping and financial reporting.
- Prepare annual production plans, budgets and schedules with the AD and provide regular updates to the AD and Board.
- Create and implement marketing strategies to increase audiences and ticket revenues.
- Create and implement funding plans to grow revenues from government grants.
- Provide efficient administrative and logistical support to artistic programs.
- Build networks and partnerships in the community that enhance the theatre’s profile and support revenue growth.
Lead and Manage People
- Provide a welcoming, supportive and safe environment for artists, company members and volunteers.
- Create a workplace that welcomes and celebrates diversity and inclusiveness.
- Hire and manage staff and contractors in consultation with the Artistic Director.
- Oversee marketing and production personnel who report to the General Manager.
Grow and Manage Revenue
- Prepare accurate budgets in cooperation with the AD for Board approval.
- Grow revenues to support the theatre’s artistic growth and sustainability.
- Manage the annual budget and take corrective actions to meet targets.
Detailed Responsibilities
Financial Management
- Prepare annual operating budget with the AD for Board approval.
- Monitor the budget to ensure financial stability; oversee monthly reconciliations and payroll administration or perform directly.
- Monitor and manage cash flow, receivables and payables.
- Ensure HST reporting where required; monitor banking, petty cash, box office reconciliations, and stakeholder settlements.
- Act as signing officer for financial documents; keep insurance updated; issue tax forms and receipts as required.
- Schedule audits and charitable tax returns and provide materials to the auditor.
- Perform other financial duties and special projects for the well-being of the company as requested by the Board.
Administrative Support
- Maintain efficient office systems and well-organized records.
- Ensure public materials meet professional standards.
- Meet legal requirements including insurance, government regulations, health and safety.
- Perform other activities as requested by the Board from time to time.
Planning
- Work with the AD to create plans for Board approval and provide regular progress updates to the Board.
- Develop strategies for funding and marketing to increase awareness and revenues.
- Prepare annual administrative work plans.
- Devise, oversee and enforce production budgets and timelines.
Funding
- Work with the AD on annual funding initiatives; identify sources of public funding and, with the AD, prepare high quality grant applications and reports.
