Risdons Solicitors are looking for a Legal Secretary & Receptionist to join the team in our Wellington Office. A friendly office with a team that has a number of yearsβ experience. The ideal candidate will have a legal background and be prepared to assist with reception tasks when required.
Key Responsibilities
- Conduct matters on behalf of clients in a professional manner.
- Provide a friendly, courteous, knowledgeable, and professional service and protect the firm against service complaints by ensuring service is of the highest quality.
- Comply with the Policies and Procedures pursuant to the Office Quality Manual at all times.
- Use a variety of software to support our case management system, including Microsoft Word and 365, Outlook, and Excel to produce correspondence, documents, presentations, records, and accounts.
- Be responsible for diary management, booking appointments/meetings, and attending meetings where necessary and assist in note taking; create, photocopy, and print documents.
- Oversee diary management for the meeting rooms, maintain meeting rooms, and provide assistance to other members of staff when in meetings and covering the reception area.
- Ensure the appropriate staff member is informed of appointment attendances at the office in good time.
- Meet all deadlines within the specified timeframes and ensure prompt response to telephone calls with accurate notes taken, recorded, and passed to the appropriate staff member without delay.
- Assist colleagues as own duties allow, including holiday and sickness cover, providing general support within the team/office/firm whilst adhering to the Equality and Diversity Policy of the firm.
- Handle all postal duties, including Royal Mail post, opening, dating, sorting and distribution, franking, etc.; assist colleagues with photocopying and printing of documents when covering reception area.
Qualifications / Experience
- Previous experience within a similar role.
- Basic knowledge of Windows operating systems, Office 365.
- Ability to work independently and manage multiple tasks efficiently.
