Role Overview:
This is a hybrid role designed for someone who thrives in operational rigor and wants to grow into full project ownership. You’ll start by providing administrative and coordination support — building strong systems, processes, and governance for our SaaS implementation team. Over time, as you upskill on our solution and establish best practices, you’ll transition into end-to-end project management, owning scope, timelines, and client outcomes.
Detailed Responsibilities & Tasks:
- Phase 1: Support & Governance (Initial Focus)
- Meeting & Communication Management: Schedule client and internal meetings; prepare agendas and ensure access. Publish meeting minutes within 24 hours with clear action items. Lead sponsor and working-team status calls in English (German is a plus and French a nice-to-have); issue succinct written updates.
- Operational Backbone: Maintain RAID/action logs, commitments register, dependency maps, and intake triage. Track readiness for workshops and training sessions; confirm quality, versioning, and approvals before delivery. Monitor and update Salesforce cases tied to implementation and training milestones. Maintain SharePoint/Confluence hygiene, versioning, naming standards, and template use. Produce weekly roll‑ups and client‑facing summaries; refresh RAG indicators on a standard cadence. Prepare client‑facing kickoff decks and status presentations. Assist with initial project plan setup and version control. Collect and organize client data for requirements documentation. Monitor task progress in Jira/Azure Boards and flag delays. Support internal resource scheduling and confirm availability for workshops.
- Governance & Handoffs: Document and enforce seamless internal handoffs (Consulting → Integration → Education) with clear owners and due dates. Ensure availability during CET client hours; proactively manage and document high‑quality handoffs to non‑CET teams.
- Project Planning & Kickoff: Work with Implementation team to define and document project scope, objectives, timelines, and deliverables. Attend/co‑lead kickoff meetings with clients to align expectations. Co‑create and maintain detailed project plans, including milestones and dependencies.
- Stakeholder Management: Act as the primary point of contact for the client throughout the implementation engagement. Manage communication between internal teams and client stakeholders. Escalate issues and risks promptly with clear mitigation strategies and recommendations.
- Requirements Gathering: Collaborate with Technical Consultants and clients to understand business processes and technical requirements. Document functional and non‑functional requirements for configuration.
- Resource & Timeline Management: Coordinate internal resources for timely delivery. Monitor progress against the project plan and adjust as needed. Manage scope changes and communicate impact on timelines and costs. Identify potential risks early and develop mitigation plans. Track and resolve issues quickly to avoid delays. Maintain a risk register and communicate status to stakeholders.
- Training & Change Management: Organize client training sessions and provide onboarding materials. Support client teams in adopting new workflows and processes.
- System Configuration & Testing: Ensure configuration aligns with documented requirements. Coordinate User Acceptance Testing (UAT) and manage defect resolution.
- Go‑Live & Post‑Implementation Support: Plan and execute go‑live activities, ensuring minimal disruption. Transition the client to Customer Success or Support teams for ongoing engagement. Track KPIs related to implementation success (e.g., timeline adherence, client satisfaction). Gather feedback from clients to improve implementation processes. Contribute to internal best practices and playbooks.

- Operational Discipline: Proven ability to manage trackers, RAID logs, Salesforce cases, RAG/status reporting, and document control.
- Client Presence: Confident leading calls and producing clear written updates and escalation options.
- Authorization & Availability: EU work authorization; ability to work primarily in CET.
Preferred Skills:
- HR tech / Strategic Workforce Planning exposure.
- Certifications: PRINCE2, PMP, or Scrum Master.
- Working knowledge of GDPR compliance for client and HR‑related artifacts.
