About the role
We are looking for an Executive Assistant to provide a full range of administrative/secretarial executive assistance, whilst exercising high degrees of confidentiality, tact and diplomacy. This is a great opportunity for an organized, resourceful assistant to provide and assure effective corporate governance across the group and ensure that directors and management comply with all statutory and regulatory compliance requirements globally.
Reporting to the Chief Ethics and Compliance Officer and the Head of Group Communications, and working in a collaborative community, a challenging and exciting environment, you will:
- Coordinate and support reporting and governance, including board papers, risk assessments, compliance audits, and preparation for regulatory filings and due diligence processes.
- Liaise with service providers and internal teams, facilitating timely communications, instructions, and the effective management of spend (e.g. purchase order management and matter level budgeting).
- Organise meetings, including preparing agendas and ensuring efficient use of time.
- Participate in continuous improvement initiatives (such as legal technology adoption and knowledge management).
- Provide administrative support including diary management, coordination of meetings events including handling of confidential correspondence.
- Arrange and coordinate travel and logistics including offsite meetings.
- Manage expense, purchase order requisitions, vendor engagement from request for proposal through onboarding, billing and ongoing spend management including budget and accrual management of the specific matter (e.g. PO headroom) and the ongoing management of spend (e.g. matter level budgeting). Includes liaison with external vendors in respect of costs.
- Assist with onboarding and integration of new team members, ensuring smooth induction processes, IT/system access, and training on relevant tools.
- Assist with updating intranet sites, directories and distribution lists.
- Assist with the preparation and formatting of reports, presentations, and communications using advanced MS Office skills. Updating and maintenance of team SharePoint sites as part of team communication plans.
About you

- Qualification in administration, secretary or related field.
- Experience in a similar role.
- Advanced use of MS Office (Word, PowerPoint, Excel and Outlook).
- A proven track record of engaging with and influencing senior and, preferably, executive management and board members.
- Excellent communicator and interpersonal skills – both written and verbal.
- Strong attention to detail, able to proofread documentation.
- Outstanding organizational and time management skills with the ability to prioritize work effectively.

Where you’ll be working
Our global headquarters is situated in St. James’s Square, in the City of Westminster, London, on the edge of the West End, and is the site of the group’s original head office. Located over several floors, the office is truly a global hub for the business and is the base for many members of the Executive Committee. As such, the grade II listed office reflects the vibrancy of the location, although it also overlooks the tranquillity of the only garden square in the district and is a short walk from Green Park and Piccadilly underground stations.
