Role Overview
We're looking for a Creative Coordinator to join the team on a 12 month fixed term contract. role is the main point of contact between the Creative Department and the wider business on all Creative and Design requests.
They will oversee all resourcing across the Creative Department and manage capacity, coordinating designers and freelance support to keep incoming briefs scoped, scheduled and delivered on time and within budget.
Day-to-day duties include quoting and tracking design costs, reconciling budgets with stakeholders, and reporting on team utilisation.
Successful candidates will be highly organised, strong communicators able to manage multiple stakeholders while staying calm and adaptable under a fast-changing workload.
The role will be based at Right Formula’s offices in Battersea, London, 3 days working from the office and 2 days from home.
Key Responsibilities
- Assess incoming briefs to ensure they are completed correctly, creating detailed timing plans (where needed) and managing resource.
- Managing the studio’s schedule and booking in projects with the relevant designers.
- Identifying potential bottle necks in capacity and adapting as needed by rescheduling or booking in additional freelance resource.
- Liaising with HR to manage onboarding of freelancer bookings and onboarding.
- Ensure the successfulend to enddelivery of projects through day-to-day co-ordination of the studio team by effectivelyallocatingprojectsand managing resources.
- Confidently manage the expectations of all stakeholders and communicateproject updates.
- Quote for all design work coming into the team and track actual time spent against each job.
- Reconcile design costs with budget holders at the end of each quarter.
- Report on the utilisation of the team and resource capacity, flagging any overburn.
- Ensure all work has been checked against the brief and copy provided before sharing with the Client Leadership team.
- Work with the wider Businessto help them understand the correct briefing process.
Skills & Experience Required
- Experience working in studio or design traffic management.
- Apple Mac/computer literate. You will have experience using, Microsoft word, Power Point, and Excel.
- Experience using project management tools such as Monday. com
- Knowledgeable of the print/production process.
You will have experience in a design studio, havingworked with graphic designers, and have a strong understanding of the design and print/production process.
- Experience quoting for work, tracking hours spent and reconciling costs.
- Highly organised. You willfacilitatefocus, accuracyand quality in the relentlessly fast paced environment of a studio environment.
- A strong communicator.
Managing multiple stakeholders across the business - show strong integrity, energy and enthusiasm while also being able to motivate, inspire and collaboratively lead resources.
