To provide administrative support to operational, commercial and management teams within a busy construction and maintenance business.
The role will ensure efficient day-to-day office operations, accurate record keeping, effective communication with clients and subcontractors, and support the delivery of repairs, voids and planned maintenance contracts.
Key Responsibilities
- General Administration
- Answer incoming telephone calls and direct enquiries appropriately.
- Manage company email inboxes and distribute correspondence.
- Prepare, format and issue letters, reports and other documentation.
- Maintain accurate electronic and paper filing systems.
- Scan, upload and organise project and compliance documentation.
- Operations Support
- Assist with raising work orders and job allocations.
- Update internal systems with job progress, completed works and variations.
- Monitor and maintain operational trackers, spreadsheets and reports.
- Support the management team with scheduling appointments and meetings.
- Book in survey/works and site visits with clients.
- Act as a professional point of contact for customers, clients and suppliers.
- Log customer enquiries and ensure they are directed to the relevant department.
- Support complaint handling and follow-up actions.
- Liaise with subcontractors regarding appointments, paperwork and compliance documentation.
Skills & Experience Required
- Previous administration or office support experience.
- Excellent organisational and time management skills.
- Good working knowledge of Microsoft Office (Excel, Word and Outlook).
- Strong written and verbal communication skills.
- High level of accuracy and attention to detail.
- Ability to work under pressure and manage multiple tasks.
- Experience within construction, maintenance, repairs or social housing sectors.
- Experience using job management or works scheduling software.
