Right Now Group are currently recruiting for an Office Administrator to join the Air Imports department for one of our Clients based near the Heathrow area. This is a busy and fast-paced administrative role supporting the smooth movement of air freight shipments from arrival through to final delivery. The successful candidate will communicate with overseas agents, customers and delivery partners while maintaining accurate shipment records and managing a busy shared mailbox.

Location: Heathrow area

Working Hours: Monday - Friday 09:00-17:30

Pay Rate: £15.18 per hour

Key Responsibilities

  • Manage and monitor the Air Imports department mailbox
  • Communicate with overseas agents regarding incoming shipments and delivery requirements
  • Arrange and coordinate deliveries with transport providers and customers
  • Maintain accurate records of shipment movements and delivery updates
  • Track shipments and ensure information is updated promptly on internal systems
  • Liaise with internal teams, overseas offices, customers and transport partners
  • Monitor delivery schedules and follow up on delays or issues
  • Ensure shipment information and documentation are accurate and up to date
  • Respond to queries professionally and provide timely updates
  • Support the wider Air Imports team with general administration and day-to-day operational tasks
  • Maintain a high level of customer service throughout the import process

Requirements

  • Previous experience in office administration, logistics or a freight environment
  • Excellent communication and organisational skills
  • Strong attention to detail and the ability to maintain accurate records
  • Confidence communicating by email and telephone with internal and external contacts
  • The ability to manage a busy mailbox and prioritise multiple tasks
  • Good computer skills, including Microsoft Office
  • The ability to work independently as well as part of a team
  • A proactive approach and the ability to work effectively in a fast-paced environment
  • Previous experience in air freight, imports or logistics would be advantageous but is not essential
