Role Overview
The Assistant Management Accountant ensures clean, accurate and well-governed Work-In-Progress (WIP) for all quoted projects and retainers, ensuring all costs are allocated accurately, revenue is recognised properly, billing plans are maintained, and project profitability is clearly visible. The Assistant Management Accountant acts as a key link between operational delivery and financial reporting, working closely with the Management Accountant, Financial Controller, Director of Operations, and Client Account teams.
Key Responsibilities
- WIP Management
- Maintain accurate WIP schedules across all client accounts, ensuring all jobs reflect the correct budget and actual costs, accrued costs, accrued and deferred income.
- Manage and track purchase orders, ensuring all third-party costs are correctly authorised and billed to clients where applicable.
- Accurately track client funds held and the timing of planned future expenditure against these funds.
- Perform regular WIP reconciliations between Synergist and AccountsIQ, identifying and resolving discrepancies promptly.
- Billing & Revenue Management
- Own and maintain billing plans for all client jobs in Synergist, ensuring they accurately reflect contractual agreements, fee structures, and project milestones.
- Prepare and issue client invoices accurately and in a timely manner in line with billing schedules, fee agreements, and project milestones.
- Liaise with client account teams to obtain billing approvals and resolve any invoice queries promptly.
- Monitor and chase outstanding WIP to ensure timely conversion to revenue, maintaining accurate debtor visibility in AccountsIQ.
- Accountable for revenue recognition across all client jobs, ensuring income is recognised in the correct period and in line with Right Formula’s accounting policies.
- Reporting and Forecasting
- Provide accurate and timely job-level cost and revenue data to support the Management Accountant and Financial Controller with account profitability reporting.
- Assist in the preparation of monthly management accounts by ensuring WIP and revenue data is accurate and complete in both Synergist and AccountsIQ and posting month-end journals as required.
- Support the Management Accountant with revenue forecasting by providing accurate and up-to-date revenue and billing pipeline data.
- Job Management
- Responsible for the financial setup of new client jobs in Synergist and AccountsIQ, including fee structures, phase types, billing plans, cost allocation categories, and revenue recognition approach.
- Support the onboarding of new clients into the finance and job management workflow in conjunction with the Director of Operations and client account teams.
- Responsible for closing completed jobs in Synergist in a timely and accurate manner, ensuring all costs are captured, revenue is fully recognised, and the job record is reconciled before closure.
- Systems
- Owner of finance data within Synergist, working alongside the Director of Operations who oversees broader system usage and operational configuration.
- Ensure consistency of data between Synergist and AccountsIQ, supporting reconciliation and audit processes.
Skills & Experience Required
- Previous experience in a WIP, billing, or financial operations role, ideally within an agency, consultancy, or professional services environment.
- Good understanding of billing processes, revenue recognition, and project-based finance.
- Strong attention to detail and commercial awareness.
- Excellent communication and people skills, with the ability to build rapport, influence, and liaise effectively with staff at all levels across client account teams, operations, and finance.
- Proactive and organised, able to manage multiple jobs and deadlines simultaneously.
- Proficient in Excel and comfortable working with financial data.
- Familiarity with job/agency management systems and cloud accounting platforms — experience with Synergist and AccountsIQ is desirable but not essential.
