We are seeking a highly organised, compassionate, and experienced individual to join our team as an Office-Based Deputy Care Manager. This pivotal role supports the Registered Manager (RM) by ensuring the smooth, compliant, and quality-driven operation of all care services from our office. The successful candidate will be instrumental in managing administrative care systems, auditing compliance, coordinating client activities, and maintaining excellent communication with our care team and clients.
Key Responsibilities
- Compliance and Auditing
- Manage and monitor the 'Com Log' (Communication Log), ensuring all entries are accurate, timely, and actioned appropriately.
- Conduct regular Medication Administration Record (MAR) audits to ensure compliance and safety standards are met.
- Monitor and track Advance Care Plans (ACPs), ensuring they are current and accurately reflect client wishes.
- Liaise with third parties, e.g., GP DNs.
- Action and follow up on all concerns raised in the internal ACP system, and elevate complex issues to the RM.
- Audit carer files, flag any missing items to RM.
- Documentation and Administration
- Update and maintain client medication records across all internal systems.
- Regularly review, update, and audit client care plans to ensure they are person‑centred and reflect current needs.
- Assist in creating and updating end‑of‑life care booklets and resources.
- Write up case studies.
- Team Communication and Engagement
- Manage the "Blink" communication platform, utilising it to message carers, share key updates, and manage team communication during the absence of the RM.
- Monitor Blink group chats to ensure professional standards and address immediate concerns.
- Maintain regular, proactive contact with carers to offer support, gather feedback, and ensure quality service delivery; book and manage supervisions, action supervisions, keep PP up to date with events, ensuring all is recorded and closed in time.
- Manage face‑to‑face workshops and training, follow up on missed training and act as needed.
- Monitor carers' hours and ensure fairness; report any RM carer low or over their hours.
- Help document and celebrate "Magic Moments" shared by carers and clients.
- Client Experience and Community Engagement
- Assist in organising and coordinating client and carer community activities, such as regular tea parties.
- Create a KPI for word‑of‑mouth enquiries.
- Complete initial and ongoing client assessments as required, including client reviews per the ACP report.
- Operational Management
- Manage day‑to‑day operational issues, resolving them efficiently and escalating unresolved matters to the RM; conduct an investigatory meeting with the other DCM, then escalated to RM if needed.
- Contribute to the on‑call rota, participating in the out‑of‑hours on‑call service approximately once a month.
